Job Description:

- Team Leadership and Delivery

- Allocate records and workload across the team, manage queues and backlogs, and ensure assigned

- records are completed within established turnaround times.

- Monitor daily productivity, accuracy and turnaround-time metrics, and take timely corrective action

- where targets are at risk.

- Respond to shifting priorities and project changes while keeping the team aligned and informed.

- Conduct regular team huddles and meetings to communicate project updates, guideline changes and

- performance feedback.

- People Management and Development

- Coach and mentor abstractors through regular one-on-ones, feedback and performance reviews.

- Track attendance, shift adherence and engagement; identify retention risks and escalate to

- management and HR.

- Partner with Training and HR on onboarding, nesting and upskilling of recent and existing team members.

- Abstraction Guidance and Escalation

- Serve as the subject-matter resource for project-specific abstraction guidelines, inclusion/exclusion

- criteria, medical terminology, medical coding (ICD-10-CM, SNOMED CT)



and EHR navigation.

- Resolve abstractor queries, and escalate ambiguous or incomplete clinical information to the

- appropriate clinical, research or client contacts.

- Review and abstract complex or high-priority records as required, in line with defined protocols and data

- dictionaries.

- Quality and Compliance

- Work with the Quality Assurance team to review audit findings, identify root causes and implement

- corrective and preventive actions.

- Ensure the team adheres to project and research protocols, IRB requirements, HIPAA, GCP and clinical

- data management best practices, and organizational policies on patient privacy and data security.

- Ensure accurate data entry and integrity within EDC systems, registries and clinical databases.

- Reporting and Collaboration

- Prepare and present daily, weekly and monthly productivity, quality and turnaround-time reports using

- Excel, including pivot tables and data analysis.
