Sarvoham Animal Foundation
Bengaluru
Strategic Executive Assistant & Coordinator
Founder's Office | Sarvoham
Location: Bengaluru, Karnataka, India
Reports to: Founder
Type: Full-time
Work arrangement: Primarily office-based, with regular shelter visits and occasional travel
About Sarvoham:
At Sarvoham, we believe every animal deserves to live without fear, pain and neglect. We rescue, treat, rehabilitate and rehome animals, and work towards a world where compassion extends to every living being.
Since 2017, our journey has been shaped by people who care deeply about animals and are willing to do the hard work it takes to make a difference. Our team includes veterinarians, rescuers, animal caregivers, volunteers and people who support our work behind the scenes.
Our mission extends across India and the United States through our work in India and Sarvoham Animal Foundation, in the USA.
There is a lot that goes into running an animal welfare organisation. Beyond the rescues and medical care, there are people to support, decisions to make, donors to keep informed, teams to coordinate and plans to turn into action.
We are looking for someone who wants to be part of that bigger picture.
Why we are hiring for this role:
The Founder has many responsibilities, and there are only so many hours in a day. We want to make sure that important ideas turn into action, commitments are not forgotten, and the people working towards our mission have the support they need.
That is where you come in.
As the Strategic Executive Assistant & Coordinator, you will work closely with the Founder and help bring structure, clarity and follow-through to the Founder's Office.
You will help manage the Founder's day, prepare for important meetings, coordinate with different teams, keep track of projects and make sure that decisions do not get lost along the way.
This is not a role where you will spend every day sitting behind a desk doing the same tasks. One day you may be organising a meeting with a donor; another day, you may be preparing a Board presentation, helping resolve a coordination issue at the shelter or researching an idea the Founder wants to explore.
Some days will be planned. Others will be unpredictable. We need someone who can adapt, think clearly and help us move forward without losing sight of why the work matters.
What you will do:
1. Help the Founder have a more productive day
- You will help the Founder stay organised, prepared and focused on the things that need their attention most.
- This includes managing the calendar, appointments, emails and travel; preparing for meetings; organising documents; and keeping track of important commitments.
- You will help identify what needs immediate attention, what can be handled independently and what can wait. You will also protect time for the Founder's strategic work, fundraising and important decisions.
- Before a meeting, you will make sure the Founder has the right information. Afterwards, you will help ensure that agreed actions are followed through.
- The goal is simple: fewer things falling through the cracks and more time spent on work that makes a real difference.
2. Be someone the Founder can rely on
- You will become a trusted partner to the Founder, someone who understands the organisation's priorities and can be relied upon to handle important responsibilities with care.
- You will follow up on commitments, coordinate with people, prepare notes and presentations, and help solve problems before they become bigger issues.
- You will sometimes need to make decisions independently. At other times, you will need to ask questions, seek approval or bring a concern to the Founder's attention.
- We value people who are confident enough to take ownership and honest enough to say when they need help.
3. Help us communicate with people who matter to our mission
- A big part of our work depends on relationships - with donors, partners, volunteers, government representatives, Board members and the wider community.
- You will help the Founder communicate with these people in a way that feels thoughtful, explicit and genuinely human.
- Your work may include drafting emails, letters, speeches, presentations, donor updates and social media content. You will also help organise meetings, coordinate visits to the shelter and prepare the Founder for important conversations.
- You may represent the Founder at meetings or events when authorised to do so. For sensitive communications or commitments, you will know when approval is needed.
- We are looking for someone who can communicate professionally without sounding robotic, and who understands that trust is built through honesty, consistency and follow-through.
4. Stay connected to what is happening at the shelter
- We want this role to have a real connection with our work on the ground.
- You will visit the shelter regularly and stay informed about what is happening across our teams- from rescues and admissions to animal care, adoptions, staffing and operational needs.
- You do not need to be a veterinarian or an animal care specialist. However, you should be interested in understanding how the shelter works and how decisions made at the leadership level affect the people caring for animals every day.
- You will help teams communicate with one another, identify delays and unresolved issues, and make sure the right people are involved when something needs attention.
- Veterinary decisions and clinical treatment will remain with our qualified veterinary team. Your role is to help with coordination, communication and follow-through.
5. Help our India and USA teams work well together
- Sarvoham's work spans India and the USA, and good coordination between our teams is essential.
- You will help arrange meetings across time zones, coordinate reports and updates, track shared commitments and ensure that important information reaches the right people.
- You will also help keep projects moving when several teams or stakeholders need to work together.
- This part of the role requires patience, clear communication and the ability to bring people together even when they are working in different places.
6. Support our Board and leadership decisions
- Good governance involves more than holding meetings. Decisions need to be recorded, responsibilities need to be clear and agreed actions need to be completed.
- You will help organise Board meetings, prepare agendas and meeting materials, draft minutes, maintain action trackers and coordinate follow-ups with the relevant people.
- You may also prepare short research notes, presentations and summaries to help the Founder and Board understand an issue and consider their options.
- You will help keep records organised and confidential, and ensure that important decisions are easy to find and follow.
- You will coordinate with the relevant people on governance and compliance matters, while formal decisions and specialist legal or financial advice remain with the appropriate authorities and professionals.
7. Keep important projects and deadlines on track
- From new initiatives to internal improvements, the Founder will often be working on ideas that need research, planning and coordination.
- You will help turn these ideas into practical next steps.
- That means understanding what needs to be done, identifying who needs to be involved, setting realistic timelines and checking progress along the way.
- You will also maintain a calendar of important organisational deadlines, including licences, renewals, registrations and reporting requirements across India and the USA. Where a deadline or potential risk needs attention, you will flag it early and coordinate with the relevant team or professional.
- We appreciate people who bring possible solutions along with the problems they identify.
8. Help make Sarvoham a better place to work
- A healthy organisation needs people to feel informed, respected and connected to the mission.
- You will help coordinate staff gatherings, town halls, volunteer events, donor visits, fundraisers and other special occasions. You will also support internal communication from the Founder's Office, making sure important updates reach the team clearly and on time.
- You may help document internal processes and SOPs, organise information and suggest ways to make everyday work easier.
- Sometimes, making a difference means helping with a big project. Sometimes, it means fixing a small recurring problem that has been frustrating everyone for month. - Both matter.
Experience and skills:
- A bachelor's degree in any discipline. A postgraduate qualification in management, communications or a related field is welcome but not essential.
- At least 5 (five) years of relevant experience in executive assistance, a Founder's Office, executive business support, senior coordination or a similar role.
- Experience working with senior leaders, managing competing priorities and coordinating projects or important deliverables.
- Strong written and spoken English. You should be comfortable preparing clear emails, reports, presentations and meeting notes.
- Good working knowledge of Google Workspace and Microsoft Office, including Docs, Sheets, Slides, Excel, PowerPoint, email and calendars.
- Familiarity with task management tools such as Asana, Zoho or similar platforms.
- The ability to handle confidential information responsibly and maintain organised records.
- Strong follow-up skills and the confidence to communicate with people across different roles and levels of seniority.
Experience with an international animal welfare organisation, nonprofit, healthcare organisation or other social impact initiative would be an advantage.
What success looks like:
The Founder is prepared, commitments completed, India and USA teams aligned, and risks flagged early. You build systems and track priorities.
Working at Sarvoham:
Based in Bengaluru, this role includes office work, regular shelter visits, occasional travel/events and USA-time-zone meetings. Flexibility and occasional extra hours are expected. Expect animal noise, fur, smells and difficult days. We value teamwork, respect and sensible planning.
