The successful candidate will manage supplier commercial agreements, purchase orders, production commitments, inventory planning, shipment coordination and supply-related risks, working closely with our Tender, Regulatory, Legal, Finance and Logistics teams.

This is a hands-on leadership role requiring strong execution capabilities, commercial judgement and accountability for supply continuity.

The role offers the opportunity to independently lead the procurement function and progressively build and develop a team as the business grows.

Key Responsibilities :

- End-to-End Procurement & Tender Execution
- Take complete ownership of procurement activities following the award of pharmaceutical tenders.
- Translate quantities, contractual delivery schedules and customer demand into procurement and supply plans.
- Manage the procurement of finished generic pharmaceutical formulations from established manufacturing partners.
- Issue and manage purchase orders, ensuring accuracy in quantities, pricing, delivery terms and supply commitments.
- Obtain and monitor manufacturer confirmations, production schedules and committed delivery dates.
- Ensure timely execution of procurement activities to meet hospital and institutional supply obligations.
- Identify potential supply delays and implement corrective actions before they affect customer commitments.

2. Supplier Contract & Commercial Management
- Manage commercial relationships with existing pharmaceutical manufacturing partners.
- Negotiate and finalise procurement pricing, payment terms, delivery schedules, minimum order quantities and supply conditions within agreed commercial frameworks.
- Coordinate supplier agreements and contractual documentation with internal Legal and management teams.
- Work closely with Legal and Regulatory Affairs on licensing considerations and other product-specific compliance requirements.
- Monitor manufacturer performance against agreed contractual and supply obligations.
- Proactively resolve commercial, operational and delivery-related issues.

3. Inventory Management & Supply Planning
- Take ownership of inventory planning and stock availability for finished pharmaceutical products.
- Develop procurement and replenishment plans based on tender commitments, demand forecasts, existing stock and manufacturer lead times.
- Establish and monitor appropriate safety stock, reorder levels and inventory coverage.
- Minimise stockouts, excess inventory, short-dated stock and expiry-related losses.
- Maintain visibility of stock in hand, stock in transit, outstanding purchase orders and future supply requirements.

- Collaborate with Sales, Tender and Supply Chain teams to align procurement decisions with actual and anticipated demand.
- Develop effective reporting systems to track inventory performance, supply risks and procurement commitments.

4. Production, Shipment & Delivery Coordination
- Coordinate with manufacturing partners to monitor production progress and finished-product availability.
- Ensure timely completion of packaging artwork, product documentation and regulatory requirements through the relevant internal teams.
- Work with manufacturers, shipping and logistics partners to coordinate product dispatch and delivery to Hong Kong.
- Monitor shipment schedules, documentation and expected arrival dates.
- Proactively manage manufacturing delays, shipment disruptions and potential supply shortages.
- Ensure reliable and timely product availability in line with tender commitments.

5. Cross-Functional Coordination & Compliance
- Work closely with Tender, Regulatory Affairs, Quality Assurance, Legal, Finance, Sales and Logistics teams.
- Ensure procurement activities align with product registrations, applicable regulatory requirements and contractual obligations.
- Coordinate required approvals and documentation before procurement or shipment milestones.
- Maintain accurate procurement records, supplier agreements, purchase orders and delivery trackers.
- Provide management with timely updates on procurement progress, inventory exposure and potential supply risks.

6. Leadership & Process Improvement
- Independently manage procurement operations with a high degree of ownership and accountability.
- Develop structured procurement, inventory and supplier-performance reporting.
- Establish clear procurement SOPs, controls and escalation processes.
- Identify opportunities to improve procurement efficiency, inventory utilisation and supply reliability.
- Build, mentor and lead a procurement team as the business expands.
- Remain actively involved in day-to-day procurement execution while providing strategic oversight.

REQUIREMENTS :

We are looking for someone who combines senior-level commercial experience with a strong hands-on execution mindset.

Someone who can negotiate confidently with established pharmaceutical manufacturers, manage complex procurement and inventory requirements, anticipate supply risks and personally take responsibility for ensuring products reach the market on time.
