About the Role:
We are looking for a hands-on Program Manager to oversee the day-to-day execution of creative projects involving writers, designers, and research teams.
This role goes beyond project tracking and coordination. The ideal candidate will understand creative workflows, review content and design deliverables, resolve execution-level challenges, and ensure that work meets quality standards and client expectations.
You will work closely with Pod Leaders to build an independent, accountable, and high performing team, enabling leadership to focus on client relationships, strategy, and business growth.
Key Responsibilities:
1. Program & Workflow Management
- Own day-to-day execution across writers, designers, and associated research workflows.
- Translate project briefs and client requirements into explicit tasks, priorities, and deliverables.
- Manage timelines, dependencies, resource allocation, and delivery commitments.
- Identify bottlenecks early and ensure their timely resolution.
2. Creative Quality & Review
- Review written content, design assets, and other creative deliverables for quality, accuracy, consistency, and alignment with briefs.
- Provide actionable feedback that improves the quality of work and reduces repetitive revisions.
- Evaluate creative concepts, content structure, and visual communication, and understand the reasoning behind execution decisions.
- Ensure deliverables meet internal standards before they move to client or leadership review.
3. Team Management & Development
- Guide writers and designers to resolve routine execution-level questions independently.
- Establish clear expectations,
ownership, and accountability within the team.
- Identify recurring skill gaps and coordinate appropriate coaching and feedback.
- Build a culture of problem-solving rather than dependency on leadership for every decision.
4. Client & Stakeholder Coordination
- Work with Pod Leaders and Research Analysts to clarify briefs, priorities, and project requirements.
- Coordinate feedback and revisions, ensuring that requirements are understood correctly.
- Escalate significant client concerns, scope changes, quality risks, and matters requiring strategic decisions when necessary.
5. Process Improvement
- Develop and maintain workflows, SOPs, checklists, and quality-control processes.
- Identify recurring errors, unnecessary revisions, and execution inefficiencies.
- Establish mechanisms to track delivery timelines, quality, rework, and team productivity.
- Continuously improve how creative work is planned, reviewed, and delivered.
What We're Looking For
- Experience in creative operations, content production, design operations, project/program management, or a related field.
- A strong understanding of content and design workflows, with the ability to review deliverables and provide meaningful feedback.
- Experience managing multiple projects, priorities, and cross-functional stakeholders.
- Strong problem-solving skills and the ability to identify root causes rather than repeatedly addressing symptoms.
- Excellent attention to detail and follow-through, with the ability to retain and connect information across projects.
- Strong communication skills, sound judgment, and the confidence to make decisions independently.
- A proactive, ownership-driven approach to work, with the ability to guide teams through ambiguity and tight deadlines.
- Comfort with productivity and creative tools relevant to the workflow, such as project management platforms, Figma, Adobe Creative Suite, Canva, or equivalent tools.
What Success Looks Like
- Pod Leaders spend less time resolving routine execution questions.
- Writers and designers operate with greater independence and accountability.
- Creative deliverables meet quality standards with fewer avoidable revisions.
- Projects move predictably, with clear priorities and fewer execution bottlenecks.
- Processes become repeatable, documented, and scalable as the business grows.
Who Will Thrive in This Role
Someone who combines creative understanding, operational discipline, sound judgment, and people leadership. You should be comfortable getting into the details of the work while maintaining a broader view of delivery, team performance, and process improvement. You don’t just track work to completion - you make it easier for the team to produce better work, consistently.
