What We’re Looking For
We are looking for a street-smart, hands-on Admin Executive who is just as comfortable managing corporate head office operations as they are troubleshooting bottlenecks on a factory floor.
If you prefer sitting behind a desk all day, this isn't for you. If you know how to get things done, negotiate with vendors, and keep multi-site operations running smoothly, we want to talk to you.
What You'll Actually Do
- Statutory & Compliance: Lead the tracking and renewal of fire safety NOCs, factory licenses, and trade insurances.
- Multi-Site Operations: Manage facilities, security, attendance, and shift rosters across the office, warehouse, and plant.
- Liaising: Act as the primary point of contact for local authorities, government bodies, and facility vendors.
- Commercial Admin: Handle administrative budgets, petty cash, vendor payouts, and corporate travel desks.
Key Responsibilities
- Manage daily administrative operations, facility upkeep, and security across the Head Office (HO), Warehouse, and Factory.
- Track, process, and ensure the timely renewal of all company licenses, including fire safety NOCs, factory safety licenses, trade licenses, and insurance policies.
- Manage daily employee attendance, shift rosters, and leave records across all sites to ensure accurate data for payroll.
- Handle administrative budgets, track daily departmental expenses, manage petty cash, and clear vendor payouts.
- Manage end-to-end corporate travel bookings, including flights, trains, hotel accommodations, and local transit for employees.
- Act as the primary liaison with local authorities, government bodies, facility vendors, and service providers.
- Identify and swiftly troubleshoot on-ground operational bottlenecks at the warehouse and factory levels.
- Coordinate with relevant teams to ensure a safe, well-maintained, and productive working setting.
- Negotiate with vendors and suppliers to ensure cost-effective procurement of office, warehouse, and factory supplies.
Candidate Requirements
- 3–5 years of relevant experience in administration and facility management across multiple sites (Office, Factory, Warehouse).
- Strong, hands-on knowledge of tracking and renewing statutory business licenses (fire, safety, insurance, etc.).
- Practical experience in attendance management, expense tracking, and travel desk operations.
- Exceptionally resourceful and "street-smart" with strong on-ground problem-solving and negotiation skills.
- Good working knowledge of standard office software (MS Office/Google Workspace) for tracking, reporting, and daily emails.
- Strong communication and coordination skills to interact effectively with ground staff, vendors, and senior management.
- A hands-on, structured, and execution-oriented approach to work.
What We Value
We value people who build trust through integrity, earn loyalty through consistency, and take ownership with a bias for action. Someone who is curious, patient, adaptable, and eager to learn, works as a team player, uses technology intelligently, and has the stability and genuine intent to grow with the organisation.
