About the Role

We are looking for an experienced and proactive Ship Agency Operations Manager with strong practical knowledge of Chennai Port procedures, vessel clearance, crew changes, port tariffs and marine service coordination.

The successful candidate will be responsible for managing vessel calls from initial customer enquiry and quotation through operational execution, documentation and final disbursement accounting.

Key Responsibilities

- Coordinate vessel inward and outward clearance at Chennai Port.
- Handle vessel call planning, ETA/ETB/ETD updates and pre-arrival documentation.
- Manage crew change formalities, including sign-on/sign-off coordination and immigration documentation.
- Applying of suitable visa online (Seaman Visa / Tourist Visa / On arrival Visa etc..)
- Maintain working knowledge of applicable Chennai Port charges, tariffs, dues and service fees.
- Coordinate with Chennai Port Authority, Customs, Immigration, terminals and other relevant authorities.
- Arrange provisions, fresh-water supply, launch services, transportation and other vessel husbandry requirements.
- Coordinate bunker supply, sludge/waste removal, technical services and surveyor attendance, where required.
- Arrange vendor access, gate passes, vehicle entry and delivery permissions in accordance with port procedures.
- Prepare competitive quotations, agency fee proposals, Proforma Disbursement Accounts (PDA) and Final Disbursement Accounts (FDA).
- Obtain supplier quotations, compare rates, issue service requests and monitor job completion.
- Prepare vessel-call reports,



operational updates, supporting documentation and customer correspondence.
- Coordinate with vessel owners, ship managers, charterers, principals, Masters and service providers.
- Monitor port-call expenses, supporting invoices, customer billing and cost reconciliation.
- Maintain accurate records, ensure compliance with applicable procedures and provide timely operational updates.
- Be available for urgent vessel operations and out-of-hours coordination when required.

Required Qualifications & Experience

- 3–4 years of hands-on experience in ship/steamer agency, marine operations or port agency services.
- Good practical knowledge of Chennai Port procedures and vessel inward/outward clearance.
- Experience in crew change, immigration coordination and port access formalities.
- Knowledge of port tariffs, marine service charges, vendor coordination and PDA/FDA preparation.
- Strong quotation preparation, email communication, documentation and follow-up skills.
- Good command of English and proficiency in MS Office/Excel.
- Ability to coordinate multiple vessel calls, suppliers and operational deadlines independently.
- Existing working relationships with relevant port-service providers will be an advantage.

Preferred: Candidates with experience in both vessel operations and agency accounting/disbursement documentation.

Pay: ₹30,000.00 - ₹40,000.00 per month
