As we continue to grow rapidly, we are looking for a Tour Co-ordinator to help us ensure a world-class experience for our customers.

As part of the Operations team, you will play a crucial role in managing the post-booking workflow, ensuring a seamless experience for both our guests and suppliers. You will handle communication, manage bookings, coordinate with suppliers, and ensure that every element of the itinerary is organised and communicated to all relevant stakeholders. Additionally, you will be responsible for tracking payments and preparing necessary documents for both clients and suppliers, all while maintaining an excellent standard of service.

Key Responsibilities

- Booking Coordination: Manage and coordinate with suppliers to book agreed itineraries accurately and ensure all details are relayed effectively.
- Client Communication: Handle all guest inquiries after booking confirmation and update clients on any changes or requests throughout their travel journey.
- Supplier Coordination: Maintain clear communication with suppliers, ensuring they are informed of changes, requests, and confirmations from clients.
- Payment Management: Track payments, send payment links to clients, and prepare financial documents to process payments to suppliers.
- Travel Documentation: Prepare and distribute travel planners, itineraries,



and other relevant documents to guests and suppliers.
- System Management: Capture and manage bookings using internal booking software, generate reports, and conduct basic data analysis as needed.
- Process Optimisation: Continuously look for opportunities to improve workflows and identify potential conflicts or gaps, mitigating them proactively.
- Cross-functional Collaboration: Work closely with other teams, including Sales, Customer Support, and Destination Guides, to ensure smooth handoffs and delivery.

- Attention to Detail: Meticulous attention to detail in sales operations and tour delivery, ensuring accuracy at every step.
- Structured Communication: Excellent written communication skills in English, with an adaptable tone based on the nature of client or supplier inquiries.
- Problem-Solving: Strong ability to identify issues early, propose solutions, and collaborate effectively to resolve them.
- Organizational Skills: Strong ability to structure and manage tasks effectively, ensuring smooth coordination between clients, suppliers, and internal teams.
- Time Management: Ability to manage multiple tasks and workflows simultaneously, meeting defined timelines for each departure.
- Technical Skills:



Proficient in document formatting, basic to moderate skills in spreadsheets, and the ability to use PowerPoint effectively.
- Proactivity: A forward-thinking approach to managing bookings and ensuring client satisfaction, while identifying and closing any gaps in service delivery.

Qualification

Education: Undergraduate degree in any discipline. Having a postgraduate qualification is a plus. We welcome applicants from diverse academic backgrounds, including those from STEM, the Humanities, and social sciences.

A minimum of 3-5 years of relevant work experience is required for this position. Experience of working in the travel industry is highly desirable.
