About the Role

We are looking for a dynamic, structured, and proactive Project Manager to oversee day-to-day operations, coordinate client projects, manage team performance, and ensure timely, high-quality delivery across multiple accounts.

As a growing marketing agency working with clients across different industries, we need someone who can bring structure to a fast-moving environment. You will be responsible for connecting people, processes, priorities, and deliverables to ensure that the team operates efficiently and clients receive consistent results.

This role requires more than task tracking and follow-ups. We are looking for someone who understands how to manage a team, delegate effectively, anticipate bottlenecks, analyze project requirements, make informed decisions, and take ownership of outcomes.

This is a hands-on leadership role, not an individual contributor position. You should have prior experience managing a team and be comfortable being accountable for both execution and the systems that enable execution.

Key Responsibilities

1. Project Planning & Execution

- Plan, structure, and manage projects across multiple clients, ensuring clear objectives, deliverables, timelines, and ownership.
- Break down client requirements and broader goals into actionable tasks, milestones, and realistic timelines.
- Maintain a centralized view of project progress, priorities, dependencies, and deadlines.
- Identify potential delays, resource constraints, and execution risks before they become problems.
- Ensure projects move smoothly from briefing and planning through execution, review, approval, and delivery.

2. Team Management & Delegation

- Manage, coordinate, and support a cross-functional team of marketing, creative, and execution professionals.
- Delegate work based on individual strengths, capacity, expertise, and project priorities.
- Establish clear ownership, accountability, and expectations for every task and deliverable.
- Monitor team workloads, identify bottlenecks, and redistribute work when necessary.
- Conduct regular check-ins, provide constructive feedback, and address performance or coordination issues.
- Build a culture of ownership where team members are accountable for outcomes, not just task completion.
- Develop team members' capabilities and help improve the team's overall productivity.

3. Structural Coordination & Process Management

- Establish and maintain clear workflows for project initiation, task allocation, internal reviews, client approvals, and final delivery.
- Create and improve standard operating procedures (SOPs), checklists, templates, and reporting systems.
- Ensure information flows effectively between client-facing team members, strategists, creatives, and execution specialists.
- Reduce confusion, duplication of effort, missed handoffs, and unnecessary back-and-forth.

- Maintain accurate project documentation and ensure everyone has clarity on priorities and next steps.
- Introduce practical systems that improve efficiency without creating unnecessary bureaucracy.

4. Strategic Thinking & Analytical Problem-Solving

- Understand the broader objective behind each project rather than focusing only on individual tasks.
- Analyze project requirements, team capacity, timelines, dependencies, and expected outcomes before committing to plans.
- Identify gaps in briefs, unclear priorities, unrealistic deadlines, and resource constraints.
- Evaluate project performance, recurring issues, delivery delays, and workflow inefficiencies to identify root causes.
- Make sound decisions about priorities, resource allocation, and escalation.
- Recommend improvements based on data, observations, and operational insights.
- Work closely with leadership to translate business priorities into actionable plans for the team.

5. Client & Stakeholder Coordination

- Coordinate with account managers and internal stakeholders to ensure clarity on client expectations and deliverables.
- Ensure client requirements are properly translated into actionable internal briefs.
- Track pending approvals, feedback, revisions, and dependencies that may affect delivery.
- Proactively communicate risks, delays, changes in scope, and revised timelines to relevant stakeholders.
- Help maintain a professional and reliable client experience through organized execution.

6. Reporting & Continuous Improvement

- Maintain project dashboards and regular status reports covering progress, deadlines, workload, and risks.
- Track relevant operational metrics such as on-time delivery, turnaround time, revision cycles, and team capacity.
- Identify recurring operational problems and implement corrective measures.
- Report key issues, resource requirements, and improvement opportunities to leadership.
- Continuously refine workflows as the agency grows and takes on more clients.

What We're Looking For

- 3–6 years of experience in project management, marketing operations, creative operations, or a similar role.
- Demonstrated prior experience directly managing a team, including assigning work, delegating responsibilities, tracking performance, and managing accountability.
- Experience coordinating multiple projects, stakeholders, or client accounts simultaneously.
- Strong understanding of workflows, dependencies, resource planning, and structured execution.
- Ability to translate broad objectives into clear plans, responsibilities, and deliverables.
- Strong analytical and problem-solving skills, with the ability to identify root causes rather than simply react to issues.
- Excellent organizational, communication, prioritization, and decision-making skills.
- A proactive and adaptable approach,

with the confidence to take ownership and make decisions.
- Comfort working in a fast-paced, evolving agency environment where processes may need to be built and improved.
- Familiarity with project management tools such as ClickUp, Asana, Trello, Monday.com, Notion, or equivalent platforms.

Essential Leadership Qualities The right candidate should be someone who:

- Thinks in systems, not just tasks. Understands how people, processes, and dependencies work together.
- Delegates instead of doing everything personally. Assigns responsibility, defines expectations, and follows through.
- Anticipates instead of constantly reacting. Spots risks and addresses them early.
- Prioritizes instead of treating everything as urgent. Makes informed decisions based on impact, deadlines, and available resources.
- Takes ownership instead of waiting for instructions. Identifies problems and proposes solutions.
- Balances structure with flexibility. Builds processes that improve execution without slowing the team down.
- Understand the bigger picture. Connects daily activities to client outcomes and agency objectives.

What Success Looks Like

Within the first 90 days, the Project Manager should be able to:

- Establish clear task ownership, priorities, timelines, and accountability across projects.
- Improve coordination and communication between team members.
- Ensure that deliverables are planned, tracked, reviewed, and completed on time.
- Identify and resolve recurring bottlenecks and workflow inefficiencies.
- Balance team workloads and delegate work effectively.
- Provide leadership with clear visibility into project status, team capacity, and delivery risks.
- Reduce avoidable delays, confusion, and last-minute escalations.
- Build a more predictable and scalable project delivery process.

How Performance Will Be Evaluated

Performance will be assessed through:

- On-time delivery rate and adherence to agreed timelines.
- Quality and consistency of project planning and execution.
- Effectiveness of delegation and workload distribution.
- Team coordination, accountability, and communication.
- Ability to anticipate risks and resolve problems independently.
- Improvements in operational efficiency and delivery processes.
- Accuracy and usefulness of project reporting.
- Feedback from team members, leadership, and relevant client-facing stakeholders.

Important Note for Applicants

This role is best suited for someone who has already managed people and projects, not someone whose experience is limited to managing their own workload.

We value practical leadership, sound judgment, structured thinking, and the ability to bring clarity to complex situations. We are looking for someone who can take ownership of how work gets done, build a dependable team workplace, and help the agency scale its operations.

To apply: Please share your resume along with a brief description of a team you have managed, the number of people you were responsible for, how you delegated work, and an example of an operational problem you identified and solved.
