MANAGER – GLOBAL SOURCING & PROCUREMENT

ABOUT THE ROLE

This is a Manager-level ownership role responsible for managing the company's domestic and international sourcing and procurement activities across multiple product categories.

The selected candidate will independently handle procurement planning, supplier development, new product sourcing, import procurement, shipment planning, commercial negotiations, landed-cost optimization, inventory coordination and supply continuity.

The role will also involve market research and category development, working closely with Management, Sales, Warehouse and Accounts to identify commercially viable products and sourcing opportunities aligned with the company's expansion plans.

KEY RESPONSIBILITIES

GLOBAL SOURCING AND SUPPLIER DEVELOPMENT

Identify, evaluate and develop reliable international manufacturers, suppliers and sourcing partners.

Explore recent countries, suppliers, product categories and sourcing opportunities.

Build and maintain long-term relationships with overseas suppliers.

Evaluate suppliers based on quality, pricing, lead time, capacity, MOQ, reliability, payment terms and commercial conditions.

Conduct supplier verification and commercial evaluation before recommending new suppliers.

Coordinate samples, specifications and supplier approvals.

Monitor supplier performance and develop alternate suppliers to reduce supply risks.

Maintain a structured database of existing, approved and potential suppliers.

PROCUREMENT PLANNING, DEMAND AND INVENTORY MANAGEMENT

Develop procurement plans based on sales requirements, demand forecasts, current stock, inventory movement, pending orders, supplier lead times and expected business requirements.

Determine products, quantities and procurement timelines.

Analyse fast-moving, slow-moving, excess and critical-stock items.

Establish appropriate reorder levels, safety stock and procurement lead times.

Plan purchases in advance to avoid stock-outs, emergency purchases and excess inventory.

Monitor open purchase orders, committed quantities and expected arrivals.

Revise procurement plans based on changes in demand, inventory, supplier availability and market conditions.

Maintain a Procurement Planning and Purchase Requirement Tracker.

Identify supply gaps and take proactive action to maintain continuity.

CATEGORY MANAGEMENT AND NEW PRODUCT SOURCING

Develop category-wise sourcing strategies based on demand, quality, pricing, margin potential, supplier availability and market trends.

Conduct domestic and international market research to identify new, innovative and trending products.

Explore new materials, designs, finishes and product categories relevant to the company's business.

Identify products suitable for showroom display, customer demand and future business development.

Compare product specifications, suppliers, pricing, MOQ, lead time, quality and commercial viability.

Obtain samples, catalogues, technical information and quotations where required.

Prepare product and supplier comparisons and sourcing recommendations for Management.

Evaluate new products based on market potential, quality, landed cost and expected commercial viability.

DOMESTIC SOURCING AND VENDOR DEVELOPMENT

Identify and develop reliable domestic suppliers for relevant product categories.

Conduct market visits,



supplier research and product evaluations as required.

Identify new and trending products from major domestic sourcing markets.

Evaluate suppliers based on quality, pricing, availability, capacity and reliability.

Negotiate purchase prices, payment terms, MOQ, delivery schedules and other commercial conditions.

Develop long-term vendor relationships and alternate sourcing options.

Coordinate domestic procurement to ensure timely product availability.

IMPORT PROCUREMENT AND SHIPMENT PLANNING

Manage the end-to-end import procurement process from supplier selection and purchase planning through shipment and warehouse delivery.

Coordinate purchase orders with overseas suppliers and monitor production and dispatch commitments.

Plan and optimize FCL and LCL shipments, container utilization and shipment consolidation.

Coordinate with freight forwarders and shipping partners for shipment booking and movement.

Monitor production status, ETD, ETA and shipment schedules.

Identify opportunities to reduce freight and other import-related costs.

Monitor open purchase orders until goods are received at the warehouse.

COMMERCIAL NEGOTIATION AND LANDED-COST OPTIMIZATION

Negotiate product prices, payment terms, MOQ, lead times, quality requirements, Incoterms, packaging and other commercial terms.

Compare supplier quotations and evaluate overall commercial viability.

Analyse total landed cost, including product cost, freight, insurance, customs duty, clearing, port, transportation and other applicable expenses.

Prepare landed-cost comparisons before major procurement decisions.

Identify cost-reduction opportunities without compromising quality or supply reliability.

Evaluate procurement decisions considering purchase cost, inventory investment, freight, working capital and expected business return.

Provide commercial analysis and sourcing recommendations to Management.

IMPORT DOCUMENTATION AND CUSTOMS COORDINATION

Coordinate with suppliers, freight forwarders and CHA or customs representatives for timely and accurate import documentation.

Ensure proper handling of Commercial Invoices, Packing Lists, Bills of Lading or Air Waybills, Certificates of Origin, Insurance Documents and other applicable import or technical documents.

Verify documentation accuracy and resolve discrepancies.

Monitor customs clearance and ensure timely cargo release and movement to the warehouse.

CROSS-FUNCTIONAL COORDINATION AND SUPPLY PLANNING

Coordinate with Sales, Warehouse, Accounts and Management to align sales requirements, demand forecasts, inventory and procurement plans.

Participate in demand and supply reviews and identify gaps between forecast demand, available stock and incoming supply.

Recommend procurement actions based on changing business requirements.

Ensure procurement decisions support overall sales and business plans.

INVENTORY, WORKING CAPITAL AND SUPPLY CONTINUITY

Balance product availability with inventory investment and working-capital requirements.

Identify excess, obsolete,



slow-moving and dead-stock risks and recommend corrective actions.

Optimize procurement quantities and purchase timing.

Monitor inventory against demand and incoming supply.

Identify supply risks and develop alternate sourcing options to ensure continuity while avoiding unnecessary inventory accumulation.

SUPPLIER PERFORMANCE AND PRODUCT QUALITY

Monitor suppliers on quality, pricing, delivery, lead time, responsiveness and adherence to agreed terms.

Maintain supplier performance records and conduct periodic evaluations.

Resolve commercial and operational supplier issues and negotiate corrective actions where required.

Coordinate product samples and evaluate specifications, materials, finishes and quality requirements.

Ensure approved specifications are clearly communicated to suppliers and follow up on quality deviations.

REPORTING AND MANAGEMENT COORDINATION

Prepare regular reports covering procurement plans, purchase orders, supplier status, production and shipment status, expected arrivals, new sourcing opportunities, product research, supplier comparisons, landed costs, inventory risks and cost-saving opportunities.

Present sourcing opportunities, product comparisons and commercial recommendations to Management.

Maintain proper procurement, supplier, sourcing and shipment records and follow approved communication and reporting channels.

REQUIRED SKILLS AND COMPETENCIES

Strong hands-on experience in international sourcing and procurement.

Strong understanding of domestic and international supplier markets.

Strong supplier development, vendor management and commercial negotiation skills.

Ability to identify and source new and trending products.

Strong procurement planning, demand planning and inventory optimization skills.

Good knowledge of import procurement, international trade, Incoterms, import documentation and freight management.

Working knowledge of FCL and LCL shipment planning and container utilization.

Ability to analyse supplier quotations and total landed costs.

Understanding of working capital, inventory investment and procurement cost control.

Strong analytical, commercial, negotiation, communication and decision-making skills.

Proficiency in MS Excel and ERP or procurement systems.

Ability to work independently, manage multiple product categories and take ownership of end-to-end procurement activities.

EXPERIENCE

10+ years of experience in Procurement, Strategic Sourcing, Global Sourcing or Import Procurement.
