Job Title: Compliance HR Executive

Department: Human Resources

Location: Nashik

Reports To: Head of HR

Purpose of the Role To ensure complete, accurate and timely compliance with all applicable labour laws, statutory requirements and internal HR policies across all outlets/locations — covering registrations, returns, challan payments, audits and inspections — so that the organisation remains audit-ready, penalty-free and fully compliant at all times.

Core Responsibility – Statutory Compliance Management

- Manage monthly, quarterly and annual compliances under PF, ESIC, Professional Tax, Labour Welfare Fund, Gratuity, Bonus and Minimum Wages.
- Ensure timely challan payments and return filings for every location, and maintain proof of filing for each period.
- Verify statutory deductions, wage structures and employer contributions with the Payroll team before payroll is closed.
- Reconcile PF, ESIC and PT data between payroll records and government portals every month, and close any mismatch immediately.
- Maintain a live compliance calendar with due dates, owners and escalations.
- Track changes in labour laws, including the current Labour Codes, and implement required changes in policies, wage structures and processes.
- Ensure compliant onboarding (UAN, ESIC IP, nominations, appointment letters) and compliant exits (F&F; settlement, gratuity, PF withdrawal/transfer).
- Prepare for and coordinate internal, statutory and client audits; represent the company in labour department inspections and reply to notices.
- Maintain all registers,

records and employee master data as required by law, in an audit-ready form.
- Prepare monthly compliance dashboards/MIS and flag risks, gaps and potential penalties early with corrective action plans.

Key Accountability Every month, the incumbent should be able to clearly confirm:

Any difference must be identified, investigated and resolved before the next filing cycle, with supporting proof maintained for audit.
