About the Role:

Legend Outdoor Advertising is looking for an experienced and proactive Project Manager to manage the end-to-end execution of corporate signage and workspace branding projects.

The role involves coordinating with clients, vendors, site supervisors, and internal design, production, procurement, and installation teams to ensure projects are delivered on time, within budget, and as per approved specifications.

We are looking for someone with strong project ownership, excellent communication and coordination skills, a practical understanding of in office execution, and the ability to independently resolve challenges while keeping projects on track.

Key Responsibilities:

1. End-to-End Project Management: Own assigned projects from initial briefing and planning through production, installation, snag rectification, and final client handover.
2. Client Coordination: Serve as the primary point of contact for clients, managing requirements, approvals, clarifications, progress updates, and day-to-day communication.
3. Project Planning and Timelines: Develop and monitor project schedules, track milestones, and ensure timely progress across all stages of execution.
4. Internal Team Coordination: Work closely with design, accounts, procurement, printing, fabrication, and installation teams to ensure seamless project delivery.
5. Vendor Management: Coordinate site inspections, obtain and compare quotations, negotiate rates, manage vendor timelines, and develop new vendor relationships where required.
6. Site Execution and Supervision: Assign and coordinate site supervisors, communicate execution requirements clearly, monitor site progress, and resolve on-ground issues.

Technical Understanding: Review architectural drawings, elevations, sections, wiring schematics, mockups, and production files to ensure execution accuracy.
8. Material and Logistics Planning: Ensure timely availability of materials, equipment, transportation, manpower, and other resources required for execution.
9. Permits and Site Access: Coordinate with clients, builders, facility management teams, and relevant authorities for work permits, site access, and workmen documentation.
10. Cost and Scope Management: Track project costs, manage additional work and scope variations, and obtain the necessary approvals before proceeding.
11. Quality Control: Identify potential execution issues, minimize measurement and fitment errors, and ensure all deliverables meet approved specifications.
12. Snag Management and Handover: Coordinate post-installation rectifications, close client snags promptly, and ensure timely submission of signed Work Completion Certificates to Accounts.
13. Documentation and Reporting: Maintain updated project trackers, schedules, approvals, drawings, site photographs, permits, and communication records. Provide regular progress reports and escalate significant risks to senior management.

Required Qualifications and Skills:

1. 3–6 years of hands-on project management experience in signage, retail fit-outs, commercial interiors, or workspace contracting.
2. Graduate degree in Engineering, Interior Design, Architecture, or a relevant discipline.
3. Strong ability to read and interpret architectural floor plans, elevation drawings, section details,



and wiring schematics.
4. Proficiency in MS Excel and familiarity with MS Project or other project scheduling and Gantt chart tools.
5. Experience using Google Workspace, cloud-based document management tools, and WhatsApp Business for operational coordination.
6. Excellent verbal and written communication skills, with the ability to manage clients, vendors, and internal stakeholders professionally.
7. Strong organizational skills, attention to detail, and the ability to manage multiple projects simultaneously.
8. A proactive, solution-oriented approach with the ability to work independently, manage deadlines, and resolve execution challenges.
9. Valid driver's license and willingness to travel for regional and interstate site visits as required.

Key Performance Expectations:

1. Ensure projects are delivered within agreed timelines and approved budgets.
2. Maintain accurate site measurements and technical requirements to minimize rework and fitment errors.
3. Ensure client approvals, internal coordination, and vendor follow-ups happen without unnecessary delays.
4. Coordinate and complete post-installation snag rectifications within 48 hours.
5. Submit signed Work Completion Certificates to Accounts within 24 hours of project completion.
6. Maintain accurate and up-to-date project documentation, trackers, and schedules.
7. Ensure clear communication and dependable project ownership across clients, vendors, and internal teams.
