Residential Warden – College Hostel

Job Summary

The Residential Warden is responsible for the overall administration, discipline, safety, and welfare of students residing in the college hostel. The Warden shall reside within the hostel premises and ensure a protected, secure, hygienic, and student-friendly environment while maintaining discipline and compliance with institutional policies.

Qualification

- Any degree/ Diploma.
- Minimum 4–5 years of experience in hostel administration, student affairs, or residential management.
- Good communication, interpersonal, and leadership skills.
- Basic computer knowledge (MS Office, Email, Hostel Management Software).

Key Responsibilities

Hostel Administration

- Manage the day-to-day operations of the hostel.
- Ensure proper room allotment, occupancy records, and hostel documentation.
- Maintain student attendance and resident registers.
- Coordinate student admissions and hostel check-in/check-out procedures.

Student Welfare

- Maintain a safe, healthy, and supportive environment for hostel residents.
- Address students' concerns, grievances, and emergencies promptly.
- Counsel students on discipline, personal conduct, and hostel regulations.
- Promote a positive and inclusive residential atmosphere.

Discipline & Conduct

- Enforce hostel rules and regulations.
- Monitor student discipline and report serious violations to the college management.
- Prevent ragging, substance abuse, and other prohibited activities.
- Ensure adherence to hostel timings and visitor policies.

Safety & Security

- Coordinate with security personnel to ensure hostel safety.
- Conduct regular inspections of hostel rooms and common areas.
- Ensure emergency preparedness, including fire safety measures.
- Report and follow up on maintenance and safety hazards.

Housekeeping & Maintenance

- Monitor cleanliness and hygiene throughout the hostel.
- Coordinate with housekeeping staff for daily cleaning.




- Report maintenance issues related to electrical, plumbing, furniture, and infrastructure.
- Ensure timely rectification of maintenance complaints.

Mess & Food Services

- Supervise hostel mess operations.
- Monitor food quality, hygiene, and dining facilities.
- Collect student feedback regarding food services.
- Coordinate with catering staff to resolve issues.

Parent & College Coordination

- Communicate with parents regarding important hostel matters when necessary.
- Coordinate with the Principal, Administrative Office, and Hostel Committee.
- Prepare reports on hostel occupancy, discipline, maintenance, and incidents.

Record Keeping

Maintain records of:

- Student occupancy
- Attendance
- Visitor Register
- Leave Register
- Complaint Register
- Asset Register
- Maintenance Register
- Incident Reports

Working Conditions

- The Warden shall reside in the college hostel.

Additional Responsibilities

- Organize orientation programs for new hostel residents.
- Conduct periodic meetings with hostel students.
- Assist in organizing hostel cultural, recreational, and wellness activities.
- Perform any other duties assigned by the Principal or Management from time to time.
