Autism Center of Excellence LLC is a U.S.-based organization providing Applied Behavior Analysis (ABA) therapy services to children diagnosed with Autism Spectrum Disorder. We are committed to maintaining high standards of clinical documentation, treatment quality, regulatory compliance, and operational excellence across our clinics and in-home therapy programs.

We are seeking an experienced and detail-oriented Senior ABA Clinical Documentation & Compliance Specialist to join our India-based team and work directly with our U.S. clinical, billing, and operations departments.

This role is ideal for a professional with substantial experience in ABA clinical documentation auditing, therapy session note reviews, and compliance monitoring who can independently identify documentation gaps, communicate findings professionally, and drive timely corrective action.

This is not an entry-level psychology position. Candidates must have relevant hands-on experience with ABA clinical documentation and auditing.

Key Responsibilities1. Daily ABA Session Note Auditing

- Conduct daily audits of ABA therapy session notes completed by Registered Behavior Technicians (RBTs), Behavior Technicians (BTs), and Board Certified Behavior Analysts (BCBAs).
- Review session notes for completeness, accuracy, consistency, and compliance with applicable payer and organizational documentation requirements.
- Verify that documentation appropriately reflects the services provided, treatment goals, interventions, patient response, and other required clinical details.
- Identify incomplete notes, missing information, inconsistencies, late documentation, and other deficiencies.
- Track audit findings and coordinate timely corrections with the appropriate clinical team members.
- Monitor recurring documentation errors and recommend improvements to reduce repeat deficiencies.

2. ABA Clinical Documentation Compliance Audits

- Conduct comprehensive audits of ABA clinical records and supporting documentation.
- Review treatment plans, initial and reassessment evaluations, progress reports, behavior intervention plans, parent/caregiver training notes, and other relevant clinical documents.
- Verify consistency between clinical documentation, authorized services, treatment goals, and applicable payer requirements.
- Identify missing signatures, incomplete records, expired or outdated documentation, and inconsistencies across clinical files.
- Maintain audit records and evidence of corrective actions.
- Escalate significant clinical documentation or compliance concerns to the appropriate U.S. clinical leadership.

3. Quality Assurance and Corrective Actions

- Maintain daily, weekly, and monthly clinical documentation audit trackers.

- Prepare reports detailing audit volumes, error rates, recurring issues, outstanding corrections, and compliance trends.
- Follow up with clinical teams to ensure deficiencies are addressed within established timelines.
- Analyze root causes of documentation errors and recommend corrective and preventive actions.
- Support internal compliance reviews, quality improvement initiatives, and audit preparation.
- Help establish standardized documentation review processes and quality benchmarks.

4. Collaboration With U.S. Teams

- Work directly with U.S.-based BCBAs, Clinical Directors, Operations Managers, billing personnel, and other stakeholders.
- Communicate audit findings clearly and professionally through email, meetings, and other business communication channels.
- Explain documentation deficiencies, required corrections, and deadlines in a constructive and actionable manner.
- Participate in U.S. business-hours meetings and provide timely status updates.
- Maintain professional communication while managing multiple priorities and deadlines across different teams.

5. Systems, Reporting, and Confidentiality

- Use CentralReach or other electronic health record and practice management systems to review clinical records and document audit results.
- Maintain accurate audit logs, quality dashboards, and compliance reports using Excel or similar tools.
- Handle protected health information in accordance with HIPAA requirements and organizational policies.
- Maintain confidentiality and follow approved procedures for accessing, storing, and communicating clinical information.

Required Qualifications

- Bachelor's or master's degree in Psychology, Applied Behavior Analysis, Special Education, or a related discipline.
- Minimum 3–5 years of relevant professional experience in ABA clinical operations, clinical documentation auditing, or healthcare compliance, including substantial hands-on ABA documentation review experience.

- Draft explicit, professional emails to U.S. clinical teams.
- Explain audit findings and documentation gaps without ambiguity.
- Conduct professional discussions with BCBAs and Clinical Directors.
