About ARDEM

ARDEM is a managed operations partner that takes ownership of business processes for clients across the United States. We focus on delivering reliable, accurate, and efficient operational support through strong process ownership, proactive communication, and continuous improvement.

About the Role

ARDEM is seeking a Senior Fund Accounting Analyst with hands-on experience in accounting operations, fund-related expenses, and accounts payable processes, preferably within the venture capital or investment management industry.

The successful candidate will independently manage assigned accounting activities, including expense processing, fund expense allocations, portfolio-company coordination, and fund expense rebilling. This role requires strong accounting fundamentals, analytical thinking, attention to detail, and the ability to resolve routine exceptions independently.

The candidate will work closely with US-based client stakeholders and internal teams to ensure accurate financial records, timely processing, effective controls, and reliable day-to-day accounting operations.

This is not a basic invoice-processing role. We are looking for someone who can take ownership of the process, understand the accounting behind transactions, identify discrepancies, and communicate professionally with clients.

Key Responsibilities

1. Fund Accounting and Expense Allocation

- Understand the distinction between management company expenses and fund-level expenses.
- Identify and allocate expenses to the appropriate funds, special purpose vehicles (SPVs), or portfolio entities based on supporting documentation and applicable guidelines.
- Review expense classifications and supporting documents to ensure accurate accounting treatment.
- Assist with fund-related reconciliations and maintain accurate accounting records.
- Review, validate, and process vendor invoices in accordance with client policies and approval workflows.
- Verify invoice details, supporting documents, expense classifications, and payment approvals.
- Coordinate with vendors and internal stakeholders to obtain clarifications and ensure timely processing.

3. Fund Expense Rebilling

- Identify fund-eligible expenses initially paid by the management company that need to be recovered from the relevant fund, SPV, or portfolio entity.

- Review supporting documentation and determine the appropriate allocation based on established client guidelines.
- Prepare expense rebilling documentation and coversheets for review, approval, or billing.
- Track rebilled expenses and follow up on outstanding items to ensure accurate and timely recovery.

4. Portfolio Company and Intercompany Coordination

- Coordinate accounting activities involving portfolio companies, funds, management companies, and related entities.
- Support the processing and tracking of portfolio-related invoices, intercompany transactions, and payments.
- Maintain appropriate documentation and transaction records to support accurate reporting and audit trails.
- Investigate discrepancies and coordinate with relevant stakeholders to resolve outstanding issues.

5. Process Ownership and Client Communication

- Independently manage daily priorities, trackers, deadlines, and assigned accounting activities.
- Monitor pending invoices, approvals, aging items, and unresolved exceptions.
- Communicate proactively and professionally with US-based clients, vendors, and internal teams.
- Escalate significant issues with supporting facts, analysis, and recommended next steps.
- Maintain process documentation and follow established accounting controls and quality standards.

Required Skills and Experience

- Hands-on experience in fund accounting, venture capital accounting, investment management accounting, or related accounting operations.
- Understanding of management company expenses versus fund expenses.
- Practical knowledge of fund expense allocation and expense rebilling to funds, SPVs, or portfolio entities.
- Experience reviewing invoices, processing accounting transactions, and maintaining supporting documentation.
- Understanding of portfolio-company coordination, intercompany transactions, and related payments.
- Excellent written and verbal communication skills, particularly for interacting with US-based stakeholders.
- Ability to work independently, manage competing priorities, and meet deadlines during the US night shift.

Preferred Qualifications

- Bachelor's or master's degree in Commerce, Accounting,

Finance, or a related field (B.Com, BBA, M.Com, MBA Finance, CA Inter, CMA Inter, or equivalent).
- Experience working with accounting platforms such as QuickBooks Online, Bill.com, NetSuite, SAP, Oracle, Microsoft Dynamics, Sage Intacct, Coupa, Tipalti, Expensify, or Concur.

- Exposure to venture capital funds, private equity, investment management, fund structures, or special purpose vehicles (SPVs).
- Experience in multi-entity, multi-location, high-volume, or approval-intensive accounting environments.
- Exposure to month-end close activities, account reconciliations, expense reporting, and financial documentation.

What Success Looks Like

- Delivers accurate, high-quality work within agreed timelines.
- Independently manages assigned fund accounting and AP activities with minimal supervision.
- Demonstrates sound judgment when reviewing transactions, allocating expenses, and resolving exceptions.
- Maintains complete and accurate documentation to support financial reporting and audit requirements.
- Communicates potential risks and delays before they affect payments, reporting, or client deliverables.
- Builds client confidence through accountability, responsiveness, and consistent process ownership.

How We Expect You to Work

- Own the process: Proactively monitor workloads, pending items, errors, aging, and deadlines.
- Think critically: Review available information and supporting documentation before seeking clarification.
- Recommend solutions: Present the issue, relevant facts, analysis, and a suggested next step when escalating.
- Communicate proactively: Keep stakeholders informed about risks, exceptions, and pending decisions.
- Protect accuracy: Follow validation steps, accounting controls, and approval procedures.
- Demonstrate accountability: Take responsibility for assigned tasks and ensure timely follow-through.

Work Environment

- Full-time remote position based in India.
- US night-shift schedule aligned with client business hours.
- Direct interaction with US-based client stakeholders and internal project teams.
- A process-driven workplace that values accuracy, independence, professional communication, and continuous improvement.

Interested candidates should have relevant accounting experience and a strong understanding of fund-related expenses, expense allocation, and rebilling processes. Venture capital or investment management accounting experience will be highly valued.
