Job Summary

Unilights.co is looking for a detail-oriented Purchase Coordinator to manage procurement activities, vendor coordination, and purchase documentation. The role involves ensuring timely availability of materials, maintaining accurate purchase records, and coordinating with internal teams to support smooth operations.

Key Responsibilities

Purchase & Order Management

- Coordinate purchase requisitions from internal teams
- Prepare and issue Purchase Orders (POs) as per approvals
- Maintain accurate records of POs, invoices, and related documents 

Vendor Coordination
- Communicate with vendors for quotations, pricing, and negotiations
- Follow up on order confirmations and delivery timelines
- Maintain strong vendor relationships and resolve supply issues 

Material & Delivery Tracking
- Track order status (pending, dispatched, delivered)
- Coordinate with stores and logistics for material receipt
- Ensure timely delivery to avoid production delays 

Documentation & Reporting




- Maintain purchase trackers in Excel (PO, delivery, GRN status)
- Ensure proper linkage between PO, invoice, and GRN
- Prepare daily/weekly purchase status reports for management 

Accounts Coordination
- Verify vendor invoices against PO and delivery
- Coordinate with accounts team for payment processing
- Highlight discrepancies in pricing, quantity, or documentation

Requirements

- Bachelor’s degree in Commerce, Supply Chain, or related field
- 2–3 years of experience in purchase/procurement role
- Solid knowledge of Excel and basic documentation systems
- Familiarity with Tally/ERP systems preferred
- Good communication and negotiation skills
