About the company and the role
Permatech Concrete Solutions is hiring an Accounts & Admin Executive in Mumbai to run day-to-day bookkeeping, compliance and office coordination.
We are a Mumbai-based design-build waterproofing specialist working with European construction-chemical principals on residential, commercial and infrastructure projects. Our office is in Bandra West. The role suits someone who is comfortable switching between accounts entries, supplier follow-ups and paperwork in the same day, without losing track of any of them.
Accounts responsibilities
You keep the books current and the statutory filings on time.
- Record sales, purchase, receipt and payment entries daily in Tally Prime, and keep ledgers reconciled.
- Prepare GST invoices for works contract services (running bills, retention, advances), plus e-way bills and credit/debit notes, and support monthly GST (GSTR-1, GSTR-3B) and TDS workings with the CA.
- Prepare site challans for materials sent to each site, and keep them matched to site receipts, stock records and bills.
- Reconcile materials project-wise: stock purchased and issued against challans, site consumption reports and balance in hand, and flag shortages, excess or wastage to the Managing Partner.
- Track works-contract billing project-wise: work orders, certified bills, retention, GST charged, input tax credit and payments received.
- Reconcile bank statements, vendor and client accounts, and follow up on pending receivables.
- Submit the reconciliations and monthly GST data to the CA by the due dates, and answer the CA's queries until the filings are done.
- Maintain import files: bills of entry, invoices, packing lists and duty payments, and help with landed-cost sheets for imported materials.
- Prepare project-wise cost and expense summaries, and pass supplier bills for payment after checking them against orders.
- Maintain the partnership firm's accounts: partners' capital and current accounts, drawings,
and interest and remuneration as per the partnership deed. Prepare advance tax and income tax return (ITR-5) workings, and tax-audit data where applicable, with the CA.
- Give the Managing Partner a short weekly update on payables, receivables and cash position.
Admin and coordination responsibilities You keep the office and the sites running smoothly alongside the accounts work.
- Handle office administration: documents, filing (physical and digital), stationery, courier and vendor payments.
- Coordinate with site supervisors, suppliers and transporters on material deliveries and daily reports.
- Maintain work orders, quotations, contracts and project files, so any document can be found within minutes.
- Track compliance dates (GST, TDS, income tax return and audit dates, licences, insurance renewals) and remind the Managing Partner before they fall due.
- Arrange travel, meetings and calendar for the Managing Partner, including calls with overseas principals.
- Answer calls and emails from clients and suppliers, and log follow-ups until they are closed.
Requirements We need a hands-on accountant with 2 to 4 years of experience who stays organised, proactive and calm under a heavy workload.
Must have
- B.Com or M.Com (or equivalent) in accounting or finance.
- GST on works contract services: running and final bills, retention, advances, input tax credit, and reverse charge or client-deducted tax where applicable.
- Experience preparing site challans and doing material reconciliation (stock issued, used and returned against purchases and site reports).
- Working knowledge of Tally Prime and TDS,
and positive Excel skills (lookups, pivots, reconciliations).
- Working knowledge of partnership firm accounting and compliance: partners' capital and current accounts, interest and remuneration as per the deed, advance tax, income tax return and tax-audit requirements.
- Proven multitasking: able to juggle accounts, admin requests and follow-ups, and to prioritise without being told.
- Proactive: spots problems, missing documents and upcoming deadlines early, and acts on them without waiting to be asked.
- Presence of mind under pressure: stays calm and makes sound decisions when deadlines collide, a payment is urgent or a shipment or site issue comes up at short notice.
- Clear written and spoken English and Hindi; Marathi is a plus.
- Accuracy, discipline with deadlines, and honesty with company money and records.
Good to have
- Exposure to import documentation, customs duty, IGST input credit or a freight/CHA environment.
- Experience in a construction, chemicals, trading or small-company setting.
- Comfort with email, Google Workspace and basic document formatting.
Compensation and terms The role pays ₹35,000 to ₹40,000 per month, depending on experience and interview performance.
- Job type: Full-time, permanent
- Location: Mumbai, office in Bandra West; occasional site or client office billing reconciliation.
- Working hours: 9:00 to 18:00
- Joining: Immediate or within 30 days preferred
- Probation: 3 months, to be confirmed
