Role at a glance The Purchase Executive buys every medicine, nutraceutical and surgical line Genhealth sells, at the best verified rate, on the same day the order is confirmed.
About Genhealth and how we buy
Genhealth runs a membership-based chronic-care pharmacy across Delhi NCR from one Noida hub and three pharmacy clusters. Members, mostly families managing diabetes, heart conditions, thyroid, PCOS and infertility.
Purchasing here is different from a typical retail pharmacy in four ways:
- Just-in-time, zero stock. We buy against confirmed customer orders, not for shelves. Speed and accuracy of sourcing decide whether the order goes out on the day.
- Margin is made on the buy side. The member discounts are high so there is pressure on purchase margins to make profit.
- Wide range, low volumes per line. Around 4,000 items a quarter, from branded ethicals and generics to cold-chain insulins, GLP-1 pens, transplant drugs and surgicals.
- Institutional commitments. We also have various partnerships, so buying below those commitments is essential.
Purpose of the role To source every confirmed order in full and on time, from verified suppliers, at a landing cost that protects Genhealth's margin. The role owns three outcomes: the order is fulfilled, the rate is right, and the supply is genuine.
Key responsibilities
1. Daily order sourcing
- Pick up confirmed orders from the order desk through the day and place purchases the same day, in time for the 10:30 AM and 2:00 PM dispatch cycles.
- Find substitute suppliers quickly when a line is short.
Never substitute the product itself without pharmacist approval.
- Keep the order desk informed of any sourcing issues so that the customer is informed before dispatch.
2. Rates and negotiation
- Get net rates after scheme from at least two suppliers on high-value and high-volume lines, and record them.
- Negotiate credit terms separately from rates.
- Run periodic rate enquiries on the top items and surgical lines, and compare quotes with current landing costs.
- Flag every item that sells below cost or below the margin floor, such as low-margin transplant and diabetes lines, to the COO before buying.
- Prepare bulk-buy proposals where a better rate justifies holding stock, with shelf-life of at least 18 months and the cash needed clearly stated.
3. Supplier management and verification
- Maintain an approved supplier list with drug licence, GST number, authorised companies, contact person, credit terms and rating.
- Buy only on a GST invoice showing batch and expiry. Never pay in advance to a current supplier.
- Treat an unusually low quote on GLP-1 pens, insulins, oncology drugs or albumin as a warning sign, and verify the source before buying.
- Go to the company or its authorised stockist first for oncology,
transplant and other specialty drugs.
- Track supplier performance: fill rate, delivery time, billing accuracy, short supply and complaints.
4. Cold-chain and specialty items
- Collect and transport insulins, GLP-1 pens and other cold-chain items in validated cold boxes, and record temperature on receipt.
- Check expiry and batch on every cold-chain unit before it enters the hub.
5. Goods receipt, records and ERP
- Check every purchase against the invoice for quantity, batch, expiry, MRP and rate before entry.
- Enter purchases in the ERP the same day and keep the item master correct: MRP, pack size, category, GST rate.
- Report MRP or master-data mismatches between the purchase, sales and wholesale modules to the COO.
- Process purchase returns and expiry claims with suppliers and follow up credit notes to closure.
- Share purchase data with accounts for payment schedules and reconciliation.
6. Own-brand and partnership supply
- Coordinate supply of the GenLife / Generix own-brand range for retail, wholesale and online marketplace orders.
- Ensure partnership orders are sourced within the agreed turnaround and discount.
7. Compliance
- Follow the Drugs and Cosmetics Act for purchase of Schedule H, H1 and X drugs, and keep purchase records ready for inspection.
- Work with the Pharmacist-in-Charge on any controlled or prescription-only purchase.
