About us

Saurabh Builders is an AA-class registered Gujarat government infrastructure contractor based in Ahmedabad, executing bituminous road, RCC and structural works for Gujarat R&B;, GIDC, AMC, VMC and other departments. We operate asphalt batch mix plants at Dhansura (Arvalli), Vadodara and Valsad, an AMC Division at Ahmedabad, and a fleet of over 54 commercial vehicles and construction machines. The group also includes a sister entity, Propave Infra LLP.

Purpose of the role

This is the company's first dedicated HR position. Hiring, joining paperwork, statutory records and site labour compliance are presently handled by the management alongside everything else. You will take complete ownership of the employee life cycle — from hiring to exit — and of every statutory register, return and record that a labour inspector, PF officer or departmental auditor can ask for.

Key responsibilities

1. Recruitment and onboarding

- Source and screen candidates for site and office positions — site engineers, supervisors, plant operators, surveyors, billing and accounts staff, drivers and operators — through job portals, consultants, referrals and local networks.
- Coordinate interviews, carry out reference checks with the last two employers of every candidate, and verify qualification and experience certificates before any offer is issued.
- Issue appointment letters, collect signed acceptances, and complete the full joining documentation set — joining form, document checklist, confidentiality undertaking, PPE issue, site cash advance undertaking and induction checklist.
- Maintain the onboarding tracker as the single source of truth, and report pending items for every employee without being asked.

2. Statutory compliance and records

- EPFO:

UAN generation and linking within 30 days of joining, Form 11 and Form 2, monthly ECR preparation and payment by the 15th, exit date marking, and resolution of member grievances.
- Professional Tax: monthly deduction, remittance and returns under the Gujarat Act; ESIC registration and monthly contribution wherever an employee falls within the wage ceiling.
- Maintenance of wage registers, muster rolls, overtime, leave and attendance records, site-wise, in the formats required under the Code on Wages, 2019 and the OSH&WC; Code.
- Compliance under the BOCW Act and the Contract Labour (Regulation and Abolition) Act for our sites — registrations, licences, returns, and verification of sub-contractor compliance.
- Preparation for and handling of labour, PF and departmental inspections, including production of any document within five minutes of being asked.
- Tracking of the statutory calendar and advance warning of every due date to the management.

3. Payroll inputs and attendance

- Collect and verify attendance from all sites and plants every month, including overtime, leave without pay and site allowances, and issue clean payroll inputs to accounts by the agreed cut-off.
- Prepare salary structures for new hires on the company CTC calculator, keeping Basic at or above 50% of CTC and checking the ESI position at every revision.
- Coordinate TDS declarations and investment proofs with the accounts team, and resolve salary and PF queries of employees.

4. Site labour and contractor management

- Verify the labour strength deployed by sub-contractors at each site against their bills, and check their PF, ESI and wage compliance before certification.
- Ensure every worker at site holds valid identity records, has been given PPE, and has received the safety induction before entering a live carriageway.
- Handle site-level grievances, discipline, show-cause notices and warning letters in consultation with the management.

5. Records, systems and reporting

- Maintain one complete folder per employee — KYC, statutory forms, correspondence — scanned within the week a document is signed.
- Run the probation review cycle: Day 7, Day 30 and the six-month confirmation decision, with written outcomes.
- Process exits — resignation, notice period, handover and clearance, PF exit marking and full and final settlement.
- Report monthly to the management on headcount, joinings and exits, attrition, statutory status and open compliance items.

What we are looking for

- Working, hands-on knowledge of the EPFO employer portal, the Gujarat professional tax system and ESIC — not theory, you should have filed these yourself.
- Practical understanding of the Code on Wages 2019, the OSH&WC; Code, BOCW and CLRA as they apply to a government works contractor.
- Experience maintaining wage registers and muster rolls for multiple sites, and facing at least one labour or PF inspection.
- Strong Excel — this company runs on trackers and registers, not on expensive software.
- Fluent Gujarati and Hindi, and workable written English for letters and departmental correspondence. Many of our site staff read only Hindi, so documents must be explained to them in their own language.
- Willingness to travel to sites and plants at Dhansura, Vadodara, Valsad and within Ahmedabad.
- A person who tells the management what is pending and what is overdue, rather than letting it pass quietly.

Positive to have

- Experience with a contractor registered with Gujarat R&B;, AMC, GIDC, NHAI or a similar authority.
- Exposure to payroll software (Zoho People, Keka, GreytHR) and to digital attendance at site.
- Experience drafting bilingual (English–Gujarati or English–Hindi) forms and notices.

What success looks like in the first 90 days

- Every employee on the rolls has a complete, signed document file and a UAN linked within the statutory time limit.
- The PF, PT and ESI calendar runs without a single late payment or return.
- Wage registers and muster rolls are current and site-wise, and can be produced on demand.
- Open positions are filled within an agreed time, with reference checks done before the offer.
- The management is told, every month, exactly what is pending and what is coming due.

Pay: ₹20,000.00 - ₹35,000.00 per month
