Role Description The Facilities Management Specialist is a full-time, on-site role based in Gurgaon, responsible for ensuring secure, efficient, and well-maintained facilities across Blue Tokai’s locations and headquarters. This role involves overseeing building operations, coordinating routine and preventive maintenance, managing service providers, and ensuring compliance with safety, hygiene, and regulatory standards. The specialist will monitor energy usage, implement efficiency initiatives, and support space planning to optimize workplace comfort and productivity.

Day-to-day responsibilities include tracking facility-related issues, managing budgets for maintenance and repairs,



supervising minor renovations, and maintaining accurate documentation of contracts, inspections, and asset inventories. The role also requires close collaboration with café operations, supply chain, and corporate teams to support business continuity and a high-quality customer experience.

Qualifications

- Strong skills in Building Management and Facility Management (FM), with experience overseeing multi-site operations or complex commercial spaces.
- Competence in Building Maintenance, including coordinating preventive maintenance, repairs, and vendor management for mechanical, electrical, and civil systems.
- Ability in Budgeting and cost control, including forecasting facility expenses, optimizing vendor contracts, and tracking maintenance-related spend.
- Knowledge of Energy Management practices, including monitoring energy consumption and implementing efficiency measures to reduce costs and environmental impact.
- Relevant educational background such as a diploma or degree in facilities management, engineering, architecture, or a related discipline.
- Familiarity with safety, fire, and statutory compliance requirements for commercial and food service environments.
- Strong organizational, problem-solving, and stakeholder management skills, with the ability to coordinate multiple priorities and meet deadlines.
- Proficiency in using facility management software or spreadsheets for tracking maintenance schedules, assets, and vendor performance.
- Prior experience in hospitality, retail, or F&B; environments is an advantage.
