Job Description

Hype Digitals & Promotions is looking for a detail-oriented and responsible Dispatch Executive to manage daily dispatch operations, shipment coordination, order processing, and delivery tracking. The ideal candidate should have good organisational skills, basic computer knowledge, and the ability to coordinate effectively.

Key Responsibilities

- Manage daily dispatch operations and ensure orders are dispatched on time.

- Prepare and verify invoices, delivery challans, shipping labels, and dispatch documents.

- Coordinate with courier companies, transporters, and logistics partners for timely deliveries.

- Track shipments and follow up on delayed, pending, or undelivered orders.

- Maintain accurate records of dispatched orders, shipment details, and delivery status.

- Coordinate with warehouse and inventory teams to ensure order readiness before dispatch.

- Verify product quantities, packaging details, and delivery addresses before shipment.

- Update dispatch reports and maintain records using MS Excel or relevant software.

- Handle customer and internal team queries related to shipment and delivery status.





- Resolve dispatch-related issues and escalate delays or discrepancies to management.

- Ensure proper documentation and compliance with company dispatch procedures.

- Monitor returned shipments, failed deliveries, and reverse logistics when required.

Required Skills and Qualifications

- 1–3 years of experience in dispatch, logistics, warehouse operations, or order processing preferred.

- Basic knowledge of MS Excel, email, and computer applications.

- Good organisational and time-management skills.

- Robust coordination and follow-up abilities.

- Attention to detail while handling orders and dispatch documentation.

- Ability to manage multiple shipments and meet dispatch deadlines.

- Good communication skills and a problem-solving attitude.

- Ability to work independently and coordinate with different departments.

Preferred Qualifications

- Previous experience in dispatch operations or logistics coordination.

- Knowledge of courier booking portals and shipment tracking systems.

- Familiarity with inventory management and order processing.

- Experience maintaining dispatch records and preparing daily reports.

- Knowledge of ERP, inventory software, or logistics management systems will be an advantage.
