Job Overview:

Klyvora is hiring a Real Estate Procurement & Contracts Consultant for a U.S.-based real estate client managing approximately $3B in assets. You will run the full vendor and contract lifecycle across the portfolio: collecting competitive bids, setting up vendor compliance, drafting contracts, getting them signed, and keeping every executed agreement and critical date accurate in MARC Contract Management.

You will work independently with vendors, Regional Property Managers (RPMs), Directors, and internal stakeholders, escalating contract risks to the manager or legal team before anything is signed. This is a procurement and contracts role.

Key Responsibilities:

Vendor Procurement & Competitive Bidding

- Manage competitive bidding for contracted property services across the real estate portfolio.
- Obtain and coordinate 4–5 vendor bids for services costing more than $2,500 per month, where applicable.
- Request proposals, compare pricing and service scopes, and organize bid information to support vendor selection.
- Coordinate with Property Managers and Directors to evaluate proposals and facilitate vendor selection decisions.
- Follow up with vendors to obtain outstanding bids, clarifications, and revised proposals.

Vendor Compliance & Offboarding

- Coordinate vendor compliance setup and ensure all required documentation is collected and maintained before engagement.
- Track outstanding compliance requirements and follow up with vendors to resolve documentation gaps.
- Communicate vendor termination or discontinuation notices when services are no longer required,

following the applicable contractual terms and internal approvals.
- Maintain accurate vendor records and documentation throughout the engagement lifecycle.

Contract Drafting, Execution & Administration

- Draft and prepare vendor service contracts based on approved commercial terms and established templates.
- Send contracts to vendors and coordinate the execution process between the vendor, Regional Property Manager, and Director.
- Track contract status, pending approvals, outstanding signatures, and execution deadlines.
- Organize and upload fully executed contracts into MARC Contract Management software.
- Maintain accurate contract records, including renewal dates, expiration dates, termination notice periods, and other key obligations.
- Review contracts for key provisions, including indemnification, insurance requirements, automatic renewal, termination clauses, and limitation of liability.
- Identify potentially unfavorable or unclear contractual terms and escalate them to the appropriate manager or legal team before execution.

Stakeholder & Vendor Coordination

- Serve as a coordination point between vendors, Property Managers, Directors, and internal stakeholders throughout the bidding and contracting process.
- Proactively follow up on pending proposals,

compliance documents, approvals, signatures, and contract-related actions.
- Maintain procurement trackers and provide updates on bid comparisons, vendor onboarding, contract execution, and outstanding items.
- Manage multiple vendor engagements and deadlines while ensuring accuracy and timely completion.

Qualifications:

- 3+ years of experience in U.S. real estate procurement, vendor management, contract administration, or commercial property management.
- Hands-on experience running competitive bids: requesting proposals, comparing pricing and scope, and supporting vendor selection.
- Experience collecting and tracking vendor compliance documents and handling vendor onboarding or offboarding.
- Experience drafting vendor contracts, coordinating signatures, and maintaining executed agreements.
- Working knowledge of contract clauses such as indemnification, insurance, termination, auto-renewal, and limitation of liability.
- Experience using a contract management system.
- Solid Microsoft Excel and Microsoft Office skills.
- Excellent written and verbal English for direct communication with U.S. vendors and stakeholders.
- Strong organization and follow-through, with the ability to manage assignments independently.
- Comfortable working the night shift (6:30 PM – 3:30 AM IST) from home.

Required Software Skills

- Microsoft Excel (strong): bid comparisons, procurement trackers, critical-date logs
- Microsoft Office (Word, Outlook, PowerPoint)
- MARC Contract Management or a similar contract management system
