Role Overview

We are looking for a detail-oriented and process-driven Payroll Executive / Payroll Specialist with 2-3 years of relevant experience in payroll administration. The role will be responsible for managing end-to-end payroll processing, statutory compliance, payroll records, employee query resolution, MIS reporting, payroll audits, and coordination with HR, Finance, and employees to ensure accurate and timely payroll execution.

Key Responsibilities

- Process monthly payroll accurately and within defined timelines, ensuring adherence to internal payroll calendars and approval workflows.
- Validate attendance, leave records, loss of pay, overtime, incentives, reimbursements, deductions, and other payroll inputs before payroll processing.
- Maintain and update employee salary structures, payroll records, statutory details, bank information, and payroll-related documentation with accuracy and confidentiality.
- Ensure compliance with statutory requirements including PF, ESI, PT, TDS, gratuity, bonus, and other applicable payroll and labor law regulations.
- Process Full and Final settlements for exiting employees in coordination with HR Operations, Finance, and business teams.
- Prepare payroll reports, reconciliation statements, variance reports, and MIS dashboards for management and internal review.
- Coordinate with HR, Finance, Compliance, and employees for payroll inputs, clarifications, approvals, and payroll-related queries.
- Handle employee queries related to salary, payslips, tax deductions, reimbursements, advantages, and payroll timelines in a timely and professional manner.
- Support payroll audits, statutory filings,



compliance documentation, and internal control requirements.
- Ensure confidentiality, accuracy, and integrity of payroll data and employee compensation information at all times.

Required Skills

- Strong knowledge of end-to-end payroll processing, statutory compliance, payroll reconciliation, and employee payroll lifecycle activities.
- Good understanding of Indian payroll regulations, taxation, labor laws, PF, ESI, PT, TDS, and related statutory requirements.
- Hands-on experience in payroll software or HRMS platforms such as Workday, SAP, ADP, Oracle, or similar systems will be an added advantage.
- Advanced Excel skills, including VLOOKUP, Pivot Tables, data validation, reconciliations, and MIS reporting.
- Strong numerical ability, analytical mindset, attention to detail, and problem-solving skills.
- Excellent communication, coordination, and stakeholder management skills.
- Ability to handle confidential payroll data with integrity and professionalism.

Required Qualifications

- Masters degree in Commerce, Finance, Human Resources, Business Administration, or a related field.
- 23 years of relevant experience in payroll administration, preferably in an IT/ITES or technology services organization.
- Experience handling payroll for mid-size to large employee populations is preferred.

Preferred / Added Advantage

- Experience in end-to-end payroll processing, statutory compliance, payroll audits, and payroll reconciliation.
- Exposure to IT/ITES payroll processes and employee lifecycle coordination.
- Experience with HRMS/ERP systems such as Workday, SAP, ADP, or Oracle will be an added advantage.
- Ability to prepare payroll dashboards, MIS reports, and leadership-ready payroll summaries.
