Job Title: Fleet Coordinator, Crane Rental

Department: Fleet Operations

Location: Indore / Site Coordination

Reporting To: Fleet In-charge / Operations Manager

Role & Responsibilities

- Monitor daily operations and deployment of cranes and other heavy equipment at various project sites.
- Maintain daily diesel consumption records for each machine and verify fuel filling, usage, and mileage/consumption reports.
- Record and monitor machine hour-meter readings and maintain daily operating-hour reports.
- Track preventive maintenance, breakdowns, servicing schedules, and repair activities for all machines.
- Coordinate with maintenance teams and service engineers to ensure timely machine servicing and minimum downtime.
- Monitor operator attendance, duty hours, overtime, weekly offs, and replacement requirements at project sites.
- Maintain records of machine availability, working hours, idle hours, breakdowns, and site-wise equipment utilization.
- Coordinate with site supervisors, crane operators, clients, and the maintenance team for smooth operations.
- Verify diesel bills, maintenance expenses, spare parts requirements, and other fleet-related expenses.
- Ensure timely collection and submission of daily machine reports from all sites.
- Maintain proper records of machine documents, insurance, fitness certificates, permits, and other applicable compliance requirements.
- Prepare daily, weekly,



and monthly fleet reports covering diesel consumption, meter readings, operator attendance, maintenance, breakdowns, and machine utilization.
- Escalate unusual diesel consumption, unauthorized machine usage, attendance discrepancies, and operational issues to the Fleet Incharge.
- Maintain accurate fleet records in Excel and ensure timely reporting to management.

Preferred Candidate Profile

- Education: Graduate or Diploma in Mechanical Engineering / Automobile Engineering. Candidates with relevant fleet operations experience may also apply.
- Experience: 2 - 5 years of experience in fleet coordination, heavy equipment operations, crane rental, or construction equipment management.
- Working knowledge of hydraulic cranes, crawler cranes, tyre-mounted cranes, boom lifts, or other heavy machinery is preferred.
- Positive knowledge of diesel tracking, hour-meter readings, preventive maintenance, breakdown management, and operator attendance.
- Proficiency in MS Excel, daily reporting, record-keeping, and fleet management documentation.
- Strong coordination, communication, problem-solving, and follow-up skills.
- Willingness to coordinate with multiple project sites and travel when required.
- Candidates with experience in crane rental companies or heavy equipment rental businesses will be preferred.
