Job Title: Admin Executive – Export Documentation

Job Responsibilities
Prepare and verify export documentation, including commercial invoices, packing lists, and shipping instructions.
Coordinate with freight forwarders, customs brokers, transporters, and courier companies.
Prepare and follow up on shipping documents such as shipping bills, bills of lading, airway bills, and certificates of origin.
Coordinate the collection of Certificate of Analysis (COA), Certificate of Pharmaceutical Product (CoPP), GMP certificates, and other product-related documents from manufacturers and technical teams.
Maintain export files, shipment records, and customer-specific documentation.
Follow up on vessel schedules, flight details, ETD, shipment status, and document deadlines.
Coordinate with banks and internal accounts teams for export-related documentation and payment records.
Assist with DGFT, Advance Authorisation, customs, and other export compliance documentation, as applicable.
Ensure that shipping documents match purchase orders,



invoices, packing lists, and actual shipment details.
Coordinate with international customers regarding document requirements and dispatch updates.
Maintain shipment trackers and provide timely updates to management.

Qualifications
Graduate in any discipline; qualifications in Export-Import Management or International Trade are preferred.
1–3 years of experience in export documentation or logistics preferred.
Knowledge of commercial invoices, packing lists, shipping bills, AWB/BL, and customs procedures.
Proficiency in MS Excel, Word, and email communication.
Knowledge of pharmaceutical export documentation and DGFT procedures will be an advantage.
Positive coordination, attention to detail, and follow-up skills.

Job Type: Full time Pay: ₹20,000.00 per month
