Job Summary

Grey Soul Coffee Roasters is looking for a detail-oriented and responsible Inventory Manager to manage inventory operations across our coffee café outlets. The candidate will be responsible for maintaining accurate stock records, monitoring stock movement, coordinating procurement, minimising wastage, and ensuring the availability of all ingredients, beverages, packaging materials, and operational supplies.

Key Responsibilities

1. Inventory Management

- Monitor and maintain daily inventory across café outlets, including food ingredients, coffee beans, milk, syrups, bakery items, packaging materials, and other supplies.
- Maintain accurate records of stock received, issued, transferred, consumed, and remaining.
- Conduct daily stock counts of critical items and regular physical inventory audits.
- Ensure proper stock storage, labelling, and organisation.

2. Procurement & Vendor Coordination

- Coordinate with vendors and suppliers for timely stock replenishment.
- Raise purchase requests based on stock levels, consumption patterns, and business requirements.
- Verify received goods against purchase orders and invoices for quantity, quality, and pricing.
- Follow up on pending deliveries, shortages, and discrepancies.

3. Stock Control & Wastage Management

- Monitor expiry dates and implement FIFO/FEFO practices.
- Track wastage, spoilage, breakage, and stock discrepancies.
- Identify unusual consumption patterns and report variances to management.
- Implement measures to reduce inventory losses and control food and beverage costs.

4. Reporting & Documentation

- Prepare daily, weekly, and monthly inventory reports.
- Maintain stock registers, purchase records, transfer records, and wastage reports.
- Reconcile physical stock with POS/ERP or inventory management system records.
- Report stock shortages, excess inventory,



and discrepancies to the management team.

5. Outlet Coordination

- Coordinate with Store Managers, Head Chefs, Baristas, and the central procurement team to ensure uninterrupted café operations.
- Ensure inter-outlet stock transfers are properly documented and approved.
- Monitor stock consumption against sales and operational requirements.
- Train outlet teams on inventory procedures and stock-handling practices.

Required Skills & Qualifications

- Graduate in Commerce, Supply Chain Management, Hospitality, or a related field preferred.
- Minimum 1–3 years of experience in inventory management, preferably in cafés, restaurants, hotels, or the F&B; industry.
- Strong knowledge of stock reconciliation, stock audits, purchase documentation, and wastage control.
- Proficiency in MS Excel/Google Sheets and inventory management software.
- Strong analytical, organisational, and problem-solving skills.
- High attention to detail, honesty, accountability, and time management.
- Ability to coordinate with multiple outlets and work in a quick-paced environment.

Key Performance Indicators (KPIs)

- Inventory accuracy and stock reconciliation.
- Reduction in wastage, spoilage, and unexplained stock discrepancies.
- Timely availability of stock across all outlets.
- Compliance with daily stock counts and scheduled audits.
- Accuracy of purchase records and inventory reports.
- Effective stock rotation and expiry management.
- Adherence to approved procurement procedures and inventory budgets.

What We Expect

The Inventory Manager must ensure that every Grey Soul Coffee Roasters outlet has the right stock, in the right quantity, at the right time. The role requires solid ownership, accurate reporting, proactive coordination, and a continuous focus on reducing wastage and improving operational efficiency.
