Role Overview TLH is seeking a highly organised, proactive, discreet, and commercially aware Executive Assistant (EA) to support the Chairman in managing their professional priorities, executive schedules, stakeholder relationships, and business commitments. Given the diversified portfolio of businesses across multiple sectors and geographies, this role requires an individual who can operate confidently in a fast-paced, entrepreneurial environment, manage competing priorities, and ensure seamless coordination between the leadership office, business heads, internal teams, and external stakeholders. The EA will serve as a trusted partner to the Chairman, enabling them to focus on strategic decisions, business growth, key relationships, and long-term priorities. The position goes beyond diary management and administration; it requires strong judgement, ownership, anticipation, and the ability to drive timely execution of commitments.
Key Responsibilities
A. Executive Office & Calendar Management
• Manage the Chairman’s calendar, appointments, meetings, travel schedules, and daily priorities.
• Plan and optimise schedules across business meetings, strategic discussions, personal commitments where required, and international engagements.
• Ensure meeting briefs, agendas, presentations, reports, and relevant background material are available in advance.
• Identify scheduling conflicts, anticipate requirements, and proactively recommend solutions.
• Maintain an effective system for reminders, follow-ups, deadlines, and priority management. B. Strategic Coordination & Business Follow-through
• Coordinate with business heads, functional leaders, and senior management across the Group’s portfolio.
• Track key decisions, action items, commitments, and deliverables arising from meetings with the Chairman.
• Maintain a central action tracker and follow up with relevant stakeholders to ensure timely closure.
• Prepare concise management updates, briefing notes, dashboards, and meeting summaries.
• Flag delays, risks, unresolved issues, and matters requiring leadership intervention.
• Support the leadership team in coordinating strategic initiatives, special projects, business reviews, and cross-functional assignments. C. Stakeholder & Relationship Management
• Act as a professional first point of contact for senior executives, business partners, investors, clients, vendors, consultants, and other important stakeholders.
• Manage communications and correspondence on behalf of the Chairman, ensuring appropriate tone, accuracy, and confidentiality.
• Coordinate meetings, introductions, business discussions, and follow-ups with internal and external stakeholders.
• Maintain strong working relationships with key contacts while exercising discretion regarding access to the leadership team.
• Handle sensitive or high-priority communications with maturity and sound judgement. D. Meetings, Reviews & Governance Support
• Organise leadership meetings, business reviews, internal discussions, and external engagements.
• Prepare agendas, collate inputs, document decisions, and circulate action points where appropriate.
• Coordinate periodic reviews with business leaders to monitor progress against agreed priorities.
• Maintain organised records of key decisions, presentations, correspondence, and executive documents.
• Liaise with finance, HR, legal, compliance, and other relevant functions for information and documentation required by the leadership office.
• Support the preparation and coordination of board or governance-related material when required, in consultation with the relevant teams. E. Travel & Executive Logistics
• Plan domestic and international travel, including flights, accommodation, ground transportation, itineraries, and meeting schedules.
• Coordinate visa documentation, travel requirements, reservations, and last-minute changes.
• Ensure travel plans are productive, well-documented, and aligned with business priorities.
• Manage logistics for conferences, business events, leadership engagements, and important visits.
• Provide timely updates and contingency arrangements when schedules change. F. Research, Briefing & Decision Support
• Conduct preliminary research on companies, industries, prospective partners, clients, markets, and business opportunities.
• Prepare concise background notes and executive briefs before important meetings.
• Gather and consolidate information from business units to support management discussions.
• Assist in preparing presentations, reports, business correspondence, and executive communications.
• Distil complex information into clear, accurate, decision-ready summaries without substituting personal judgement for management decisions. G. Administrative & Personal Assistance
• Manage expense documentation, reimbursements, invoices, and other executive office administration as assigned.
• Coordinate approved personal appointments and logistics where required by the Chairman.
• Ensure the executive office operates efficiently, with proper documentation, organisation, and timely communication.
• Handle confidential documents, correspondence, and information in accordance with internal protocols. H. Process Improvement & Executive Effectiveness
• Establish practical systems for calendar management, task tracking, document management, and follow-ups.
• Identify opportunities to streamline workflows and improve coordination between the leadership office and business units.
• Use digital productivity tools and AI-enabled solutions responsibly to improve efficiency.
• Maintain a high standard of responsiveness, accuracy, accountability, and professional conduct. Required Qualifications & Experience
• Graduate degree in Business Administration, Management, Communications, or a related discipline; an MBA or relevant postgraduate qualification is an advantage.
• Ideally 5–10 years of experience in an Executive Assistant, Executive Office, Founder’s Office, CEO’s Office, or similar role.
• Prior experience supporting a Chairman or MD is strongly preferred.
• Experience in a diversified business group, multinational organisation, or entrepreneurial environment will be an advantage.
• Demonstrated experience managing complex schedules, senior stakeholder communication, executive meetings, travel, and multiple concurrent priorities.

• Ownership and accountability: Follows through on commitments, takes responsibility for deliverables, and ensures tasks reach closure.
• Communication and executive presence: Communicates clearly, confidently, and professionally with stakeholders at all levels.
• Organisation and prioritisation: Manages competing demands effectively without losing sight of critical deadlines.
• Judgement and problem-solving: Understands when to act independently, when to seek clarification, and when to escalate an issue.
• Adaptability: Remains composed and effective in a dynamic environment where priorities can change at short notice.
• Relationship management: Builds trust with senior leaders, business heads, and external stakeholders while maintaining appropriate professional boundaries.
• Attention to detail: Ensures that schedules, documents, communications, and arrangements are accurate and complete. Personal Attributes
• The ideal candidate will be mature, dependable, well-presented, highly organised, and comfortable working closely with senior leadership. They should combine the discipline of a strong administrator with the mindset of a business-oriented executive partner.
• The candidate must be comfortable handling sensitive matters, working with minimal supervision, engaging with senior stakeholders, and maintaining composure under pressure. A flexible approach to
