Project Manager – SHIVAA
Location: Bhandup, Mumbai (On-site) | Type: Full-time | Reports to: Founder / Leadership Team A Little About Us
SHIVAA is not just an organisation to us. It is a promise we have made to the people we serve. Every programme we run, every field visit, every small win starts with one belief: change happens when someone shows up, consistently and with heart.
We are looking for a Project Manager who wants to be that someone. This is a role for a person who can run a tight project plan and also sit with a community member, listen, and understand what they really need.
Why This Role Matters
Our projects are only as solid as the people who hold them together. As Project Manager, you will be the link between our vision, our team, our volunteers, our partners and donors, and the communities we work with. You will make sure good intentions turn into well-planned, well-documented, measurable impact.
What You Will Do
Run our projects from start to finish
- Plan, launch and manage SHIVAA's programmes and field initiatives with clear timelines, budgets and responsibilities
- Break big goals into simple, trackable action steps for the team
- Keep every project moving, spot risks early and solve problems before they grow
Lead and support our team
- Coordinate with staff, field workers, interns and volunteers, and keep everyone motivated and clear on their role
- Hold regular check-ins and review meetings, and follow up on every action point
- Build a culture of ownership, respect and kindness within the team
Stay close to the community
- Visit project sites and beneficiaries regularly, and listen first before planning
- Build trust with local leaders, families, schools, and community groups in and around Bhandup
- Make sure our work respects local culture, language and sensitivities
Manage partners, donors and compliance
- Coordinate with CSR partners, donors, government offices and other NGOs
- Support grant proposals, donor reports and utilisation certificates
- Keep records, receipts and documentation accurate and audit-ready, in line with NGO and statutory requirements
Track and report our impact
- Set simple indicators for each project and monitor them
- Prepare progress reports, impact summaries and stories from the field for donors, the board and our social media
- Use data and feedback to improve what we do
Manage resources responsibly
- Track project budgets and expenses carefully, because every rupee here is someone's trust
- Coordinate logistics, vendors, event planning and materials for drives, camps and workshops
Who We Are Looking For
Essential qualifications and experience
- Graduate in any stream; Master's in Social Work (MSW), Development Studies, Management, Public Policy or a related field is a strong plus
- 3–5 years of experience in project management or programme coordination, with at least 2 years in an NGO, non-profit, CSR or social impact setting
- Proven experience handling projects end to end: planning, execution, reporting and closure
- Working knowledge of NGO operations: donor reporting, CSR coordination, FCRA/80G/12A basics, budgeting and documentation
- Strong written and spoken English and Hindi
- Comfortable with MS Office / Google Workspace, and with project tracking tools or spreadsheets
- Willingness to work on-site in Bhandup and travel for field visits
Preferred
- Understanding of Marathi (spoken, and reading if possible). Most of our community speaks it, and connecting in their language matters to us
- Experience working with urban communities, women, children, youth or underserved groups
- Experience in volunteer management and fundraising or event coordination
- Training or certification in project management (PMP, PRINCE2, CAPM, or equivalent) or in monitoring and evaluation
The Person Behind the Skills We hire for heart as much as for CVs. You are likely to thrive here if you:
- Genuinely care about social change and can talk about why, not just that, you want to work in the NGO sector
- Stay calm and resourceful when resources are limited and plans change, which is the reality of NGO work
- Are patient, humble and respectful with people from every background
- Take ownership and don't wait to be told what to do next
- Communicate clearly, honestly and warmly
- Can wear many hats, whether that means writing a report in the morning and helping set up a camp in the afternoon
- Are dependable. People count on us, and we count on you
Proof of Work: Help Us Know You Better We would like to see your work, not just read about it. Please share the following along with your application:
1. Updated CV with a clear description of your role in each organisation
2. Certificates and credentials: academic degrees, project management or other training certificates, and any relevant courses
3. Experience and relieving letters from your NGO or project-related roles, where available

◦ Budget sheets or trackers you maintained
◦ Links to campaigns, publications, media coverage or social media work
1. Letters of appreciation, awards or recommendations from donors, partners, supervisors or community members
2. Two professional references who have seen you work
3. A short note (200–300 words) on: "Why do you want to work with SHIVAA, and what is one project you managed that you are proud of?"
Your story matters to us. If you have worked on something meaningful, even as a volunteer or student, please tell us about it. What You Can Expect From Us
- A close-knit, purpose-driven team where your ideas are heard
- Real responsibility and the chance to see your work change lives

- A fair salary as per experience and NGO standards
- A workplace that values honesty, kindness and commitment
