Role Description
Product and production tracker
Maintain one tracker for every active design and SKU, including:
- Product name, SKU or temporary product code and collection
- Design owner and design status
- Vendor and contact person
- CAD, sample and production status
- Quote, approved cost and purchase order status
- Sample, production and delivery dates
- QC status and correction notes
- Quantity ordered, received and sellable
- Photography, listing and launch status
- Current blocker, next action, owner and due date
Use clear statuses such as Not started, In progress, Waiting on vendor, Waiting for approval, Blocked, QC hold, Ready for shoot, Ready for listing and Complete.
New product and sampling process
- Receive a design brief from Kritika or the jewellery designer, including the reference, specifications and intended use.
- Create a product code and add the product to the tracker.
- Confirm with the jewellery designer what technical information the vendor needs.
- Request quotes and timelines from vendors.
- Send costs and purchase commitments to Kritika for approval.
- Once approved, confirm the specifications, cost, quantity and timeline in writing with the vendor.
- Follow up on CAD, sample and production milestones and record updates in the tracker.
- Record sample receipt and arrange QC.
- Route technical questions to the jewellery designer and commercial or launch decisions to Kritika.
- Do not mark a product ready for production, photography or launch until the required approvals are recorded.
Vendor coordination
- Own routine vendor communication about samples, production status, corrections, quantities and delivery dates.
- Keep written records of agreed specifications, timelines, costs and changes.
- Send a written recap after calls where a decision or deadline was agreed.
- Follow up before due dates if an update is missing and flag overdue items early.
- Coordinate technical feedback with the jewellery designer so vendors receive one clear design direction.
- Escalate cost increases, missed deadlines,
quality disputes or requests for unapproved payment to Kritika.
- Do not commit to new costs, quantities, design changes or public delivery dates without approval.
- Send approved invoices and payment details to Jessica for accountant coordination.
Quality control
Check pieces when samples or production arrive and record the result against the SKU. Check:
- Finishing, plating or oxidation consistency
- Stones, pearls and other components
- Clasps, hooks, closures and moving parts
- Sizing and fit against the approved specification
- Colour and material consistency across the batch
- Design accuracy against the approved reference or sample
- Visible damage, sharp edges, loose components or other defects
If a piece fails QC, mark it QC hold, keep it separate from sellable stock, photograph and record the issue, and coordinate a correction or replacement. Ask the jewellery designer to review design or technical issues. Recheck corrected pieces and record the outcome before releasing them.
Inventory and dispatch coordination
- Check stock with the internal team on agreed days each week.
- Compare physical stock information with the inventory tracker and Shopify availability.
- Flag low or inconsistent stock and prepare reorder recommendations.
- Track incoming stock against the purchase order and record discrepancies.
- Coordinate which pieces are needed for shoots, PR gifting, stylist requests or campaigns.
- Keep a product loan and gifting log with item, quantity, recipient, dispatch date, expected return and return condition.
- Coordinate dispatch priorities with Deepak. Deepak remains responsible for physical stock handling, packing and dispatch.
- Escalate lost, damaged, missing or returned items that affect sellable stock.
Photography and e-commerce readiness
- Prepare a shoot list with product name, SKU, quantity, styling notes and required angles.
- Confirm pieces are QC-approved and available before the shoot.
- Coordinate dates and logistics with the photographer, model, stylist and creative team.
- Track products photographed, edits pending and final images received.
- Match final images to the correct SKU and confirm samples are returned to Deepak.
- Coordinate product listings with the website team,
including the correct SKU, approved price, specifications, materials, size information, images and stock availability.
- Check product pages against approved information before launch. Do not make unsupported material or quality claims.
- Coordinate sold-out and restock updates with Deepak and the website team.
Social, PR and campaign coordination
- Share approved product details, pricing, availability and launch timing with the social media team.
- Make sure pieces requested for campaigns, stylists, celebrities or PR activity are available and logged.
- Coordinate product dispatches and returns with Deepak.
- Flag stock shortages or production delays to Kritika, PR and social as early as possible.
- PR owns outreach and relationship management; social owns the content calendar and publishing. The operations manager ensures products and logistics are ready.
Workflow:
Daily: Review due and overdue tasks, check expected deliveries and stock issues, update the tracker after confirmations, and flag urgent blockers or approvals to Kritika.
Weekly: Share completed work, overdue items, upcoming deadlines, stock risks and decisions needed. Review sampling and production with the jewellery designer, stock and dispatch with internal, and readiness for upcoming shoots and launches.
Monthly: Review the product pipeline, propose the next month’s production and shoot calendar, and flag recurring delays or process issues.
