● Provide clear and accurate information about eMbrace’s services, pricing, and packages.

Client Operations, Scheduling & Billing

● Manage client operations end to end, including appointment scheduling and tracking.

● Book, confirm, and reschedule appointments based on therapist availability, and optimise therapist schedules and room allocation.

● Raise invoices for sessions, assessments, and packages, in line with hospital billing processes where applicable.

● Track payments, follow up on pending dues, and handle reconciliations.

● Assist families with payment methods (UPI, card, cash, online transfer) and issue receipts.

Care Coordination & Continuity

● Facilitate communication and coordination between parents, therapists, and the VK centre to ensure smooth service delivery and continuity of care.

● Relay schedule changes, session updates, and parent concerns to the right therapist or team in a timely manner.

● Support therapists with materials or tools they need before or after sessions.

● Maintain clinical documentation and client records accurately and confidentially.

● Keep CRM up to date for appointments, client records, and billing.

● Maintain operational trackers, including conversion sheets and logs of appointments, cancellations, and no-shows.

● Track daily footfall, collections, and relevant front-desk metrics.

● Flag system, process, or client concerns to the operations team in a timely manner, and support audits or administrative projects as assigned.
