Job Title: Executive Sales Support

Reporting To: Assistant Manager Sales Support

Job Purpose: To provide efficient sales coordination and operational support to the Sales team by ensuring accurate order processing, timely customer communication, proper documentation, and seamless coordination with internal departments for successful order execution.

Key Responsibilities

1. Sales Coordination & Order Management

- Provide day-to-day administrative and operational support to the Sales team.
- Prepare and process quotations, sales orders, proforma invoices, and other customer-related documents accurately and within defined timelines.
- Coordinate the complete order lifecycle from receipt of Purchase Order (PO) to dispatch and final delivery ensuring timely execution.
- Monitor pending orders, delivery schedules, and follow-ups to ensure adherence to committed timelines.

2. Customer Coordination

- Respond to customer enquiries, provide regular order status updates, and ensure prompt resolution of customer concerns.
- Maintain effective communication with customers and internal stakeholders to facilitate smooth order execution.

3. Internal Coordination

- Coordinate with Production, Stores, Dispatch,



Finance, and other internal departments to ensure seamless order processing and timely deliveries.
- Ensure smooth execution of customer orders through effective coordination with the Sales Support team and cross-functional departments.

4. Documentation & Data Management

- Maintain and update customer master data, sales records, order status, and related documentation in Tally, Excel, and other business systems.
- Ensure accuracy of sales data, pricing, documentation, and customer records while maintaining proper document control and filing systems.

5. Reporting & Process Improvement

- Generate periodic MIS reports, sales trackers, and other reports as required by the Sales team and management.
- Support the implementation, standardization, and continuous improvement of sales processes, systems, and Standard Operating Procedures (SOPs).

Desired Competencies

- Proficiency in Microsoft office (Excel, PPT, word, Power BI, data management).
- Understanding of sales coordination processes and dispatch documentation (Invoices, Delivery Challans, E-Way Bills, etc.).
- Strong attention to detail with a high level of accuracy.
- Good analytical and organizational skills. • Effective verbal and written communication skills.
- Ability to coordinate with cross-functional teams and manage multiple priorities.
- Customer-focused approach with problem-solving ability.
- Positive attitude, willingness to learn, and ability to work in a fast-paced workplace.
- Working knowledge of Tally ERP preferred
- Qualification :Bachelors Degree in Engineering. Preferred MBA in Marketing / Operations.

Experience: 1-2 years of experience in Sales Support, Sales Coordination, Customer Service, or a similar role.
