The Program Analyst is a full-time role combining rigorous impact metrics data validation and executive reporting with hands-on project management support. This role is the team's data custodian: every piece of data that flows into the master database is expected to be reviewed, challenged, and validated before it is accepted. Alongside this, the Analyst works closely with Contract Performance Managers (CPMs) on a daily basis, helping translate scattered project information into clean, approval-ready project deliverables, and acts as the team's tracker — keeping CPMs on schedule for milestones, payments, timely deliveries and approvals.
The ideal candidate brings a strong audit background, an exacting eye for detail, and confident PowerBI, Excel, PowerPoint and MS Project (Gantt chart) skills.
Key Responsibilities
1. Data Validation & Database Integrity
- Act as the primary gatekeeper for all data entering the master databases — reviewing, cross-checking, and challenging inputs submitted by CPMs before acceptance. All data across CPMs’ working files and Program Support master databases need to be consistent and accurate.
- Apply a rigorous, audit-style validation process to impact metrics evidence, ensuring accuracy, completeness, and alignment with reporting standards and evidencing frameworks.
- Maintain high Excel hygiene across all working files — clean formulas and data input, version control, and structured, auditable workbooks including standardising SharePoint folders.
- Flag inconsistencies or gaps to CPMs or Program Leader, follow up to resolution, and maintain a clear log for internal tracking and validation
- Build and maintain Gantt charts in MS Project to track project timelines, dependencies, and milestones.
- Proactively prompt CPMs ahead of approaching deadlines, milestone payments, and approval document requirements, helping the team stay focused and on track for each project's next stage. Escalate risks to deadlines or deliverables in good time.
- Support proactive project oversight by maintaining real-time visibility of project risks and E2E issue indicators.
Escalate issues requiring management attention to safeguard program performance and KPI delivery.
- Continuously enhance operational processes by identifying gaps in data entry and validation workflows and addressing them through automation and process improvements.
2. Reporting, Dashboards & Executive Presentation
- Independently gathers, synthesises, and verifies information from diverse sources to produce reliable content.
- Build, maintain, and refresh PowerBI dashboards to support internal and external reporting needs.
- Prepare and tightly edit PowerPoint materials for internal and external audiences, ensuring wording and formatting meet executive-level standards.
- Support both internal reporting (Project Steering Committees, Program calls) and external reporting (Governing Council and Leadership Board) with a consistent level of polish and rigor. All data provided at internal and external forums need to be consistent with PowerBI, accurate and current.
- Support and coordinate the India Program Advisory Group (PAG) meetings under the guidance of Program Strategy and Engagement Leader, ensuring PowerPoint materials and minutes are approved and circulated on time
- Support meeting governance through accurate and timely minute-taking, capturing key discussions, decisions, action items, and ownership to ensure accountability and effective follow-up.
3. Project Management Support
- Support CPMs with day-to-day project management activities, acting as an extra pair of hands across the project lifecycle, and ensure CPMs adhere to project deadlines and comply to the E2E process during pipeline development or project execution.
- Support CPMs in drafting project deliverables (e.g. change requests, executive summary, closure reports etc.)
by consolidating scattered or incomplete information into clean, submission-ready drafts.
- Liaise with CPMs to clarify missing information and ensure deliverables are internally consistent and fulfils the E2E process criteria before they are routed for approval.
- Review invoices and deliverables and promptly submit disbursement requests; troubleshoot any challenges related to Microsoft Business Central (BC).
- Maintain regular engagement with CPM’s and Program Workstream Leaders to share relevant updates and ensure alignment on information that could affect project execution and program objectives.
- Support pipeline development, project execution documentation and other ad-hoc project administration as needed. This includes documentation and collection of information to expedite the E2E process, and working closely with the Funding Recipient to obtain information or follow up on outstanding matters.
- Support internal and external audit processes of the projects and programs, through collection and consolidation of relevant information and documents, and providing data analysis and justification as needed.
- Participate in site visits and support related preparation work as needed.
- Support any other responsibility as relevant to the , emerging from time to time.
Qualifications and Experience
- Bachelor's degree in a related field
- 3+ years of relevant work experience.
- Prior experience in an audit, assurance, or controls-focused role strongly preferred — comfortable challenging data and evidence rather than taking it at face value.
- Advanced Excel skills with excellent file hygiene and a strong data-oriented mindset.
- Working experience with PowerBI (dashboard building and maintenance) required.
- Robust PowerPoint skills — able to produce tight, polished, executive-ready slides.
- Experience with MS Project or equivalent Gantt-chart tools.
- Prior exposure to project coordination or project management support is highly valued.
- Excellent attention to detail, follow-through, and stakeholder communication skills.
