About the Role
The Operations Support Coordinator provides support to the other operations functions and their internal customers. This role focuses heavily on supporting order entry, order exception management. The use of our POS, EComm and ERP systems along with the operations teams other tools such as Air Table to manage, manipulate and store data from our partner portals. This is an excellent role for someone who enjoys problem-solving, delivering exceptional service, and growing their skills within operations. Order Management Analyst Department: Supply Chain POSITION SUMMARY: The Order Management Analyst sits at the intersection of planning and fulfillment, connecting upstream production and planning teams with the downstream execution of orders across both our D2C and Wholesale channels. The core mission of this role is making sure the right inventory reaches the right customer at the right time—whether that is an ecommerce order, a retail partner’s purchase order, or a channel allocation decision when supply is constrained. This is a data-first role. The Order Management Analyst works within our ERP to keep the full order lifecycle accurate and moving—from order capture and validation through allocation, release, fulfillment, and returns. Partnering closely with Planning, Logistics, Ecommerce, Sales, and Customer Experience, this role translates supply availability into clear, defensible fulfillment decisions. The ideal candidate is highly analytical, systems-fluent, and steady under pressure in a fast-moving, multi-channel environment.
KEY RESPONSIBILITIES
Order Lifecycle Management:
• Own the end-to-end order lifecycle across—order capture, validation, release, fulfillment, and close-out—ensuring orders flow accurately between ecommerce platforms, the ERP, and 3PL partners.
• Manage order exceptions across channels, including backorders, pre-orders, split shipments, order holds, cancellations, and short ships.
• Validate wholesale orders at intake against pricing, terms, ship windows, and account requirements, routing discrepancies back to Sales for resolution.
• Ensure Value Added Service aligns with routing requirements by client.
• Partner with Customer Experience and Ecommerce on D2C order issues, returns, exchanges, and refunds, ensuring system records reflect what the customer experienced.
• Monitor order integrations and syncs (Shopify to NetSuite, EDI, NuOrder) to identify and resolve failed, stuck, or duplicate orders before they affect a customer or retail partner. Inventory Allocation & Channel Supply:
• Support the inventory allocation process across channels—how available supply is distributed between Wholesale accounts—in alignment with commercial priorities and Planning’s allocation strategy.
• Manage bulk orders, holds, shipping windows within the ERP, ensuring inventory is reserved, released, or reallocated accurately and on schedule for order demand.
• Provide data-backed recommendations when supply is tight, balancing D2C availability, account priorities, seasonal deadlines, and channel commitments.
• Proactively identify allocation shortfalls and inventory risk, communicate impact to Planning, Ecommerce, and Sales leadership, and recommend phasing or reallocation options.
• Stay close with Planning on inventory aging, excess, and slow-moving SKUs across D2C and Wholesale to support timely markdown or reallocation decisions. Upstream Planning Partnership:
• Work closely with Production and Planning teams to understand inbound supply timelines, production commitments, and inventory availability—translating that data into fulfillment readiness for every channel.
• Participate in planning cadences to represent order management constraints and channel-level demand signals.
• Support open-to-buy (OTB) analysis by tracking channel commitments, cancellations, and inventory positions relative to plan, flagging variances early.
• Contribute to demand planning by providing order history, velocity, and sell-through analytics by channel, account, and SKU.
• Provide input on ATP windows and lead times to help Planning sequence production and inbound receipts in support of D2C launches and wholesale ship windows. ERP Data Management & Order Analysis:
• Serve as a power user of the ERP system (NetSuite), owning data accuracy across order records, pricing, allocations, and fulfillment status for all channels.
• Conduct deep-dive analysis of order and allocation data to identify trends, anomalies, bottlenecks, and systemic issues affecting fulfillment performance across D2C and Wholesale.
• Audit ERP data regularly to ensure accuracy and consistency; identify root causes of data discrepancies and drive corrections in partnership with relevant teams.
• Evaluate and improve order management workflows, automation rules, and system configurations to increase efficiency and reduce manual intervention. Reporting & Business Intelligence:
• Develop and maintain dashboards, reports, and scorecards that give Operations, Planning, and Ecommerce leadership real-time visibility into order pipeline health, fulfillment SLAs, fill rates, allocation status, and supply constraints by channel.
• Build and maintain automated reporting solutions using BI tools to reduce manual effort and increase reporting frequency.
• Establish KPI frameworks and benchmarks for order management across channels, tracking metrics such as order cycle time, on-time ship rate, order fill rate, allocation accuracy, cancellation rate, and exception volume.
• Identify patterns in order data—including cancellations, short ships, returns, and fulfillment exceptions—and present findings to leadership with recommended corrective actions. Cross-Functional Partnership:
• Partner with Logistics and 3PL partners to align outbound fulfillment sequencing with order priorities, D2C service-level commitments,
and wholesale routing requirements.
• Partner with Sales and Finance to resolve order, pricing, and invoicing discrepancies, including wholesale chargebacks and compliance deductions.
• Contribute to the development of SOPs, data governance standards, and process documentation for order management and allocation.
QUALIFICATIONS:
Required:
• Experience in order management, supply chain analytics, inventory planning, or a related data-focused role, preferably within a consumer goods, apparel, or lifestyle brand selling through both D2C and Wholesale channels.
• Advanced proficiency in ERP systems (e.g., NetSuite, SAP, Microsoft Dynamics), with hands-on experience managing order flow, allocations, hold queues, and ATP logic at a systems level.
• Expert-level Microsoft Excel skills, including pivot tables, complex formulas (INDEX/MATCH, XLOOKUP), and data modeling; experience with Power Query or macros is a plus.
• Strong analytical and quantitative skills, with the ability to synthesize large datasets into clear, actionable business decisions—especially under supply constraint conditions.
• Demonstrated ability to manage competing priorities with accuracy and urgency in a fast-paced, deadline-driven environment. Preferred:
• Experience in demand planning, open-to-buy management, or S&OP; processes with direct exposure to production or inbound supply timelines.
• Experience with ecommerce platforms (e.g., Shopify) and their integration with an ERP or order management system.
• Familiarity with wholesale trading partner platforms and EDI (e.g., NuOrder, OpenText), including retailer compliance requirements.
• Background in an omnichannel business environment with exposure to 3PL fulfillment operations. CORE COMPETENCIES:
• Analytical Thinking: Applies structured, data-driven approaches to complex order and allocation decisions—evaluating trade-offs and recommending defensible solutions under supply pressure.
• ERP Fluency: Navigates and leverages ERP systems with depth and confidence, with strong command of order management, allocation, and ATP data structures.
• Channel Perspective: Understands how D2C and Wholesale differ in pace, service expectations, and requirements—and makes decisions that serve the whole business, not a single channel.
• Judgment Under Pressure: Makes clear, well-reasoned calls when supply is limited or orders are at risk, balancing competing channel and account priorities without losing sight of broader business objectives.
• Attention to Detail: Maintains a rigorous standard of accuracy across order data, allocation records, and reporting outputs.
• Upstream Orientation: Thinks beyond the order queue—proactively engaging with Planning and Production to anticipate supply availability and get ahead of fulfillment risk.
• Communication: Translates complex data and order constraints into transparent, concise narratives for both technical and non-technical stakeholders.
• Process Improvement: Continuously evaluates order and allocation workflows and reporting systems for inefficiencies, and champions scalable, sustainable improvements.
