Job Title: Executive Assistant Founder & CXO Brand
Reporting To: Founder & CXO Brand
Location: Mumbai
Organisation: Confidential (D2C Beauty Brand)
About the Role
This is not a conventional EA role. The person stepping into this position will work at the epicentre of one of India’s fastest growing D2C skincare brands — operating as the right hand to the Founder and CXO Brand. You will be expected to think ahead, move quick, operate with complete discretion, and bring a level of ownership to this role that goes well beyond scheduling and coordination.
If you are someone who thrives in ambiguity, takes pride in making complex things simple, and wants a front row seat to how a high-growth consumer brand is built — this role was made for you.
What You Will Do
Calendar & Time Management
Own and manage the Founder’s and CXO Brand’s calendars end to end — scheduling, prioritising, rescheduling, and protecting time with ruthless efficiency.
Anticipate scheduling conflicts before they happen and resolve them proactively.
Ensure the principals are always prepared for what’s next — with the right materials, context, and information in hand.
Communication & Correspondence
Screen, prioritise, and manage all incoming communication — emails, messages, and calls — and draft responses where required.
Serve as the first point of contact for all internal and external stakeholders reaching out to the Founder and CXO.
Draft, edit, and proofread communications, presentations, speeches, and documents on behalf of the principals.
Maintain a professional and consistent tone across all outgoing communication.
Travel & Logistics
Plan and book all domestic and international travel — flights, hotels, transfers, visas, forex — with an eye on cost efficiency and comfort.
Prepare detailed travel itineraries and ensure all logistics are airtight before departure.
Handle last minute changes, cancellations, and rerouting calmly and efficiently.
Meeting Management
Prepare agendas, pre-reads, and briefing notes for all key meetings.
Attend select meetings, take minutes, and track action items through to completion.
Follow up with stakeholders on pending actions and ensure closure.
Project & Task Coordination
Track ongoing projects, initiatives, and commitments on behalf of the Founder and CXO — flagging delays, bottlenecks, and upcoming deadlines.
Coordinate across functions — HR, Finance, Marketing, Operations — to ensure cross-functional tasks move without friction.
Own special projects and assignments end to end as delegated by the principals.
Stakeholder & Relationship Management
Build and maintain strong relationships with key internal and external stakeholders — investors, agency partners, vendors, media contacts, and senior leadership.
Manage the principals’ professional networks — LinkedIn outreach, introductions, follow-ups, and relationship tracking.
Coordinate with PR and communications teams on media appearances, interviews, and public engagements.
Office & Administrative Management
Manage expense reports, reimbursements, and invoice processing for the principals.
Coordinate with the admin and finance teams on payments, approvals, and documentation.
Handle personal administrative tasks for the Founder as required — with complete discretion.
Event & Engagement Coordination
Coordinate the Founder’s and CXO’s participation in industry events, conferences, panels, and media engagements.
Manage RSVPs, logistics, speaking notes, and follow-ups for all external engagements.
Support internal events where the Founder or CXO are involved.
What We Are Looking For
Experience & Background
3–6 years of experience as an EA, PA, or Chief of Staff — preferably supporting C-suite or Founder level in a startup, consumer brand, or fast-paced organisation.
Prior experience in a D2C, FMCG, media, or advertising environment is a strong plus.
Exposure to brand or marketing functions is a significant advantage for the CXO Brand support aspect of this role.
Skills & Competencies
Exceptional organisational and time management skills — you can hold 20 things in your head and not drop a single one.
Outstanding written and verbal communication — you can draft an email for the Founder that sounds exactly like them.
Highly proficient with Google Workspace, MS Office, Slack, and project management tools.
Strong judgment — you know what to escalate and what to handle yourself.
Comfortable with ambiguity — you don’t need a playbook for every situation.
Discretion and confidentiality — non-negotiable, always.
The Non-Negotiables
You are proactive by nature — you see what needs to be done before being asked.
You have a high sense of ownership — things don’t fall through the cracks on your watch.
You are calm under pressure — last minute changes don’t rattle you, they energise you.
You are a fast learner — you pick up context, people, and processes quickly.
You are present — physically and mentally, this role requires full commitment.
