- Role: Vendor Relationship Executive/Manager

- Timings: 6 days (Monday - Saturday) | 9:30 AM to 6:00 PM

Role Purpose

Smooth vendor operations are critical to our client's production schedules and export commitments. This role takes ownership of every open purchase order from the day it is placed to the day the material is received: daily vendor follow-up, a confirmed delivery date for each order, accurate tracking, and early action on delays. You will keep vendors on commitment through proactive calling and structured follow-through, so that no order reaches its due date without a warning.

Key Responsibilities

- Follow up daily with vendors on all open purchase orders: production progress, readiness status, and a clear, confirmed delivery date for every order.
- Convert vendor commitments into a PO-wise delivery tracker and keep it updated daily across Excel, Google Sheets, MIS reports, and FMS, with no data lag.
- Identify potential delays before the due date and act on them: secure revised dates, explore partial shipments, and inform Purchase and the downstream teams immediately.
- Escalate any vendor delay that stays unresolved to the Purchase / Procurement head the next day, and follow up until a decision or corrective action is taken.
- Ensure vendors adhere to PO terms, quantities, specifications, and schedules, and flag deviations to the purchase team promptly.
- Coordinate with the warehouse and store on incoming material,



and follow up on pending dispatch documents, invoices, and quality rejections or replacements.
- Record vendor performance data, including on-time delivery, reasons for delay, and responsiveness, to feed vendor scorecards used by Procurement.
- Build skilled working relationships with vendors that ensure high responsiveness and quick issue resolution.
- Share a daily update and a weekly report on open PO ageing, delayed orders, and expected receipts.

What We're Looking For

- 3 to 5 years of experience in vendor coordination, purchase follow-up, order tracking, or supply chain support; experience in the automotive or auto components industry is strongly preferred.
- Hands-on proficiency with MS Excel, Google Sheets and Drive, MIS reporting, and FMS tools.
- Proven track record of high-volume calling and structured follow-ups with suppliers or manufacturers.
- Graduate degree in a related field

What Success Looks Like

- Vendor on-time delivery rates trend consistently upward.
- Every open PO has a confirmed date, and the tracker reflects reality at any point in the day.
- Vendor delays are spotted early and fixed before production or dispatch is affected.
- Unresolved delays are escalated on time and closed, not carried forward.
- Vendor performance data is complete and usable for scorecards and vendor decisions.

Pay: ₹300,000.00 - ₹420,000.00 per year
