Roles & Responsibilities Export Sales Coordinator

1. Export Lead Generation & Market Research
- Identify potential international buyers, distributors, and importers .
- Search buyers using:

- Trade portals (Alibaba, IndiaMART Global, TradeIndia, GlobalSources)
- LinkedIn
- Google search
- Import-export databases
- Maintain database of buyers by country and product category .
- Identify target markets with high demand for company products.
- Track competitor export pricing and market trends .

Daily Output

- 20-30 recent buyer contacts added to database.

1. Customer Communication & Inquiry Handling
- Understand customer requirements:

- Product specification

- Quantity

- Packaging

- Destination port

- Coordinate internally with:

- Production

- Pricing team

- Management

Goal Respond to every inquiry within 24 hours .

1. Quotation & Proposal Preparation
- Prepare export quotations including:

- Product details
- FOB / CIF pricing
- MOQ
- Delivery timelines
- Payment terms
- Follow up on quotations with potential buyers.

Goal Convert inquiry → order.

1. Order Processing & Coordination

Once order is confirmed:

- Prepare Proforma Invoice (PI) .

- Confirm:

- Product specification

- Packing details

- Delivery schedule

- Coordinate with:

- Production department

- Packaging team

- Dispatch team

Ensure order production starts on time .

1. Export Documentation





Prepare or coordinate preparation of export documents:

- Commercial Invoice
- Packing List
- Bill of Lading
- Certificate of Origin
- Inspection Certificate
- Insurance documents
- LC documentation (if applicable)

Ensure documentation is accurate and submitted on time .

1. Logistics & Shipment Coordination
- Coordinate with:

- Freight forwarders
- CHA (Customs House Agent)
- Shipping lines
- Book shipment.
- Track shipment status.
- Share shipping documents with customer.

Ensure timely dispatch and delivery .

1. Payment Follow-Up

Track export payments:

- Advance payments
- LC payments
- Post-shipment payments

Send reminders to customers for pending payments .

1. CRM & Reporting

Maintain records of:

- Leads
- Quotations
- Orders
- Shipment status
- Payment status

Prepare weekly reports:

- Leads generated
- Quotations sent
- Orders received
- Dispatches
- Pending payments

1. Distributor / Agent Development
- Identify potential country distributors .
- Maintain long-term relationships with overseas buyers.
- Support distributor with:

- Product catalog
- Pricing
- marketing material.

1. Exhibition & Trade Promotion Support

Assist in:

- International exhibitions
- Trade delegations
- Export promotion councils

Collect leads and follow up.

Pay: ₹15,000.00 - ₹20,000.00 per month
