Job Summary

Aiswarya Wheels TVS is looking for a responsible and experienced Spare Parts Manager to manage spare parts inventory, stock availability, purchasing, billing, and daily spare parts operations. The candidate will be responsible for ensuring the timely availability of genuine TVS spare parts for workshop requirements and customer sales while maintaining accurate stock records and controlling inventory costs.

Key Responsibilities

1. Spare Parts Inventory Management

- Manage the receipt, storage, issue, and movement of spare parts.
- Maintain accurate stock records and ensure proper inventory control.
- Monitor fast-moving, slow-moving, and non-moving spare parts.
- Ensure the availability of essential spare parts for daily workshop operations.
- Conduct regular physical stock verification and reconcile discrepancies.
- Maintain proper storage, labelling, and arrangement of spare parts.

1. Spare Parts Procurement

- Identify spare parts requirements based on workshop demand and stock levels.
- Prepare purchase orders and coordinate with the head office, suppliers, and TVS-authorized channels.
- Monitor pending orders, backorders, and delayed deliveries.
- Ensure timely replenishment of stock and avoid unnecessary overstocking.
- Verify received items against invoices, purchase orders, and delivery documents.

1. Workshop Coordination

- Coordinate with the Service Manager, Service Advisors, technicians, and floor staff.
- Ensure spare parts are issued promptly against the appropriate job cards.
- Monitor parts availability for pending service jobs and urgent repairs.
- Track parts shortages that may delay vehicle delivery.
- Ensure proper documentation of parts issued, returned, or replaced.
- Coordinate warranty-related spare parts and returns as per company procedures.

Billing and Sales Management

- Ensure accurate spare parts billing and invoice preparation.
- Monitor retail counter sales and internal workshop parts consumption.
- Verify pricing, discounts, returns, and credit transactions as per company policy.
- Maintain proper records of daily sales, cash transactions, and credit sales.
- Support the achievement of spare parts sales and revenue targets.
- Ensure all transactions are entered correctly into the company software.

1. Stock Control and Audit

- Conduct periodic stock audits and physical verification.
- Investigate stock mismatches, shortages, excess stock, and damaged items.
- Monitor obsolete and slow-moving inventory and report it to management.
- Ensure proper documentation of stock adjustments and returns.
- Prevent unauthorized stock movement and maintain accountability for inventory.
- Prepare stock reports and support internal and management audits.

1. Team Management

- Supervise spare parts staff and allocate daily responsibilities.
- Monitor attendance, punctuality, discipline, and work performance.
- Ensure staff follow company procedures for stock handling, billing, and reporting.
- Train team members on inventory management, parts identification, and software usage.
- Maintain coordination between the spare parts counter and workshop team.

1. Reporting and Administration

- Submit daily, weekly, and monthly spare parts reports to management.
- Prepare reports on stock availability, sales, purchases, pending orders, and inventory value.
- Maintain purchase records,



invoices, stock registers, and issue registers.
- Monitor outstanding payments and coordinate with the accounts department.
- Ensure proper use of company software and timely updating of all transactions.
- Report stock shortages, operational issues, and discrepancies promptly.

Required Qualifications and Skills
- Minimum qualification: Plus Two / Diploma / Degree.
- Experience in spare parts management, automobile dealerships, or inventory control is preferred.
- Knowledge of two-wheeler spare parts and TVS parts identification is an advantage.
- Good knowledge of inventory management, billing, and stock reconciliation.
- Basic computer knowledge and familiarity with MS Excel and inventory software.
- Strong organizational, communication, and team management skills.
- Good numerical accuracy and attention to detail.
- Ability to manage stock efficiently and work towards business targets.

- Timely fulfilment of workshop parts requirements.

- Accuracy of billing, purchase records, and stock reports.
- Timely submission of daily and monthly reports.
