About the Role

We are looking for an experienced and result-oriented Project Manager to lead software development projects and ensure successful delivery from project initiation to completion.

The ideal candidate will have strong experience in managing software development projects, leading cross-functional teams, handling international clients, and ensuring that projects are delivered within agreed timelines, budgets, scope, and quality standards.

This role requires someone who can independently manage project execution, make informed decisions, anticipate delivery challenges, and maintain accountability across teams. The candidate should be capable of translating business requirements into actionable project plans while ensuring effective communication between clients, technical teams, and management.

The Project Manager will play a key role in improving project delivery processes, team productivity, client satisfaction, and overall operational efficiency.

Key Responsibilities

1. Project Planning and Delivery Management

- Take complete ownership of software projects from initiation, planning, execution, monitoring, and delivery to final closure.
- Develop comprehensive project plans covering scope, timelines, milestones, deliverables, dependencies, resource requirements, and delivery expectations.
- Break down project objectives into actionable tasks and ensure that responsibilities are clearly assigned to the relevant team members.
- Monitor project execution against planned schedules and take corrective actions whenever deviations occur.
- Ensure that project deliverables are completed within agreed timelines, scope, budget, and quality standards.

2. Team Leadership and Performance Management

- Lead and manage cross-functional teams, including developers, UI/UX designers, QA engineers, and business analysts.
- Establish clear expectations regarding responsibilities, deadlines, ownership, and project deliverables.
- Monitor team performance, productivity, and workload to ensure efficient execution of project activities.
- Conduct regular team discussions to review progress, address challenges, and maintain alignment with project objectives.
- Support team members in resolving project-related challenges and ensure accountability for assigned responsibilities.
- Identify skill gaps, resource requirements, and performance concerns, and communicate them to the relevant management stakeholders.

3. Client Relationship and Stakeholder Management

- Act as the primary point of contact for clients throughout the project lifecycle.
- Build and maintain strong professional relationships with international clients through regular communication, project updates, and structured discussions.
- Understand client business objectives, technical requirements, expectations, and priorities to ensure successful project execution.
- Conduct client meetings, project reviews, requirement discussions, and delivery presentations as required.
- Proactively communicate project progress, risks, changes, and important decisions to relevant stakeholders.
- Manage client expectations professionally and ensure that concerns are addressed in a timely and effective manner.

4. Requirement Analysis and Scope Management

- Collaborate with clients, business analysts, and technical teams to understand project requirements and business objectives.
- Ensure that requirements are clearly documented, reviewed, and translated into actionable development tasks.
- Coordinate with technical teams to assess feasibility, effort estimation, dependencies, and implementation approaches.
- Manage scope changes by evaluating their impact on project timelines, resources, budgets, and deliverables.
- Ensure that additional requirements or changes are properly reviewed, approved, and incorporated into the project plan.
- Maintain alignment between client expectations and the team's technical capabilities.

5. Project Monitoring, Reporting, and Governance

- Establish project tracking mechanisms to monitor progress, milestones, deliverables, resource utilization, and overall project performance.
- Maintain project dashboards, reports, trackers, and documentation to provide clear visibility into project status.
- Prepare regular project updates for management and stakeholders, highlighting completed activities, pending tasks, risks, and upcoming milestones.




- Monitor project performance against agreed delivery commitments and identify areas requiring management attention.
- Ensure that project documentation, decisions, action items, and communication records are maintained accurately.
- Provide timely and transparent reporting on project health, delivery performance, and operational concerns.

6. Risk, Issue, and Dependency Management

- Identify potential risks, technical challenges, resource constraints, and dependencies that may impact project delivery.
- Evaluate the potential impact of risks and develop mitigation plans to minimize delays and operational disruptions.
- Work closely with technical teams to resolve blockers and ensure that critical issues are addressed promptly.
- Monitor project dependencies across teams, tasks, and external stakeholders to avoid execution delays.
- Escalate critical risks and unresolved issues to management with appropriate recommendations and possible solutions.
- Take proactive measures to maintain project stability and ensure timely delivery.

7. Agile, Scrum, and SDLC Management

- Manage project execution using appropriate methodologies, including Agile, Scrum, and other relevant project management practices.
- Oversee sprint planning, backlog prioritization, daily stand-ups, sprint reviews, and retrospectives.
- Ensure that development activities are aligned with sprint goals, project priorities, and delivery milestones.
- Work closely with Product Owners, Business Analysts, and technical teams to maintain a well-defined and prioritised backlog.
- Ensure that project teams follow structured development, testing, review, and release processes.
- Continuously evaluate project workflows to improve execution efficiency and delivery predictability.

8. Resource Planning and Budget Management

- Plan project resource requirements based on scope, timelines, complexity, and team availability.
- Coordinate with management and team leads to ensure appropriate resource allocation across projects.
- Monitor workload distribution, resource utilization, and team capacity to avoid over-allocation or delivery bottlenecks.
- Track project effort, estimated hours, actual effort, and budget utilisation.
- Identify potential budget overruns, resource inefficiencies, and commercial risks.
- Provide recommendations to management regarding resource planning, project feasibility, and cost optimization.

9. Quality Assurance and Release Management

- Ensure that project deliverables meet agreed functional requirements, technical specifications, and quality standards.
- Coordinate with QA teams to establish testing priorities, track defect resolution, and monitor testing progress.
- Ensure that critical bugs and outstanding issues are addressed before release.
- Oversee User Acceptance Testing (UAT), deployment readiness, and release coordination.
- Work with technical teams to ensure smooth production releases and minimize delivery-related risks.
- Conduct project closure reviews to evaluate delivery outcomes, client feedback, and improvement opportunities.

10. Process Improvement and Operational Efficiency

- Evaluate existing project management processes and identify opportunities to improve delivery efficiency.
- Implement structured workflows, reporting practices, and accountability mechanisms across project teams.
- Identify recurring project challenges and develop practical solutions to prevent similar issues in the future.
- Improve communication, documentation, task tracking, and coordination practices.
- Support management in implementing project delivery standards and operational improvements.
- Encourage continuous improvement through project retrospectives, performance reviews, and lessons learned.

11. AI Tools and Productivity Optimization

- Leverage AI tools such as ChatGPT, Microsoft Copilot, and other relevant solutions to improve project management efficiency.
- Use AI for project documentation, meeting summaries, requirement analysis, status reporting, risk identification, and task planning.
- Identify opportunities to automate repetitive project management activities and reduce manual administrative work.
- Explore AI-powered tools and workflows that can improve team productivity, reporting accuracy, and delivery efficiency.
- Ensure responsible use of AI tools while maintaining client confidentiality, data security, and the accuracy of project information.

Required Qualifications and Skills

- Bachelor's degree in Computer Science, Information Technology, Business Administration, Project Management, or a related field.
- 3–5 years of relevant experience in project management, preferably within a software development or IT services company.
- Prior experience managing software development projects is mandatory.
- Strong understanding of SDLC, Agile methodologies, Scrum practices, and software development processes.




- Proven experience managing projects independently from initiation to delivery.
- Experience handling international clients, cross-functional teams, and multiple project priorities.
- Strong knowledge of project planning, effort estimation, resource allocation, risk management, and delivery tracking.
- Experience with project management tools such as Jira, ClickUp, Asana, Trello, or similar platforms.
- Proficiency in Microsoft Excel, Google Sheets, project dashboards, and reporting tools.
- Understanding of project budgeting, resource utilisation, and cost management.
- Excellent written and verbal communication skills, with the ability to communicate effectively with technical and non-technical stakeholders.
- Strong leadership, decision-making, analytical, and problem-solving abilities.
- Ability to manage competing priorities, work independently, and take ownership of project outcomes.
- Familiarity with AI tools and workflow automation to improve productivity is an advantage.

Work Model and Schedule

Hybrid Work Arrangement:

- The position follows a hybrid work model, combining work from the office and work from home.
- The candidate must be available to work from the Mohali office on a daily basis, as required for team collaboration, project discussions, and business requirements.
- Candidates must be comfortable attending scheduled client meetings and coordinating with international teams across different time zones.

Working Hours: 9:30 AM – 6:30 PM IST, with reasonable flexibility based on client meetings and project delivery requirements.
