Key Responsibilities
A. ERP Product Strategy & Functional Design
- Own the functional design and product experience of complex ERP systems and interconnected enterprise applications.
- Translate business objectives, customer requirements, and operational challenges into scalable ERP functionality.
- Define product modules, features, user journeys, business rules, workflows, and system behavior.
- Ensure all modules work together as one cohesive product rather than disconnected features.
- Identify functional gaps, redundant processes, and inefficiencies; propose simplifications.
- Challenge unclear, conflicting, or unnecessary requirements and propose better solutions.
- Balance business value, customer needs, usability, technical feasibility, scalability, and timelines in design decisions.
- Maintain consistency in business logic, terminology, functionality, and user experience across the platform.
B. ERP Functional Architecture & Cross-Module Integration
- Design and structure multi-module ERP platforms covering departments, user roles, business processes, and workflows.
- Translate finance, accounting, procurement, sales, inventory, HR, project management, operations, and customer management processes into software functionality.
- Define module relationships and dependencies, including shared entities, data dependencies, transaction flows, approvals, permissions, and business rules.
- Define master data relationships, transaction lifecycles, status transitions, validations, and cross-module interactions.
- Ensure transactions in one module trigger the appropriate updates, actions, and workflows in other modules.
- Account for multi-company structures, multiple branches, role-based permissions, configurable business rules, and audit requirements.
- Identify architectural and functional gaps before they become development or implementation problems.
- Collaborate with Engineering and Solution Architecture to ensure designs are feasible, scalable, and maintainable.
C. End-to-End Workflow & Business Process Design
- Analyze existing business processes and design optimized future-state workflows.
- Create workflows covering user actions, system responses, business rules, decision points, approvals, validations, and outcomes.
- Design approval hierarchies, notifications, escalations, task assignments, automated actions, and exception handling.
- Map process ownership and handoffs between departments, users, modules, and external systems.
- Define alternate flows, failure scenarios, reversals, cancellations, retries, and exceptional conditions.
- Produce process diagrams, flowcharts, swimlane, state-transition, and sequence diagrams where appropriate.
- Ensure workflows are logically complete, operationally practical, and minimize manual work, duplication, and bottlenecks.
D. API Requirements & System Integrations
- Define functional API requirements and integration specifications in collaboration with Engineering.
- Define API operations, request/response structures, input requirements, business validations, and expected outcomes.
- Document integration triggers, data mappings, dependencies, authentication requirements, and error-handling expectations.
- Define expected behavior for failed requests,
duplicate transactions, missing data, timeouts, retries, and synchronization issues.
- Map data and information flows between internal modules and third-party platforms.
- Assess integration feasibility, dependencies, security implications, and implementation complexity with Engineering.
- Review API and integration documentation for alignment with approved functional requirements. (Direct backend coding is not mandatory.)
E. UI/UX Design Leadership
- Lead UI/UX Designers responsible for ERP interfaces, user journeys, interaction design, and visual consistency.
- Guide information architecture, navigation, wireframes, prototypes, and high-fidelity designs.
- Establish reusable design systems, components, patterns, and product-wide UX standards.
- Review and approve designs before engineering handoff.
- Ensure designs cover all interface states: loading, empty, success, error, validation, access restrictions, and exceptions.
- Balance usability with the data density and operational complexity typical of ERP applications.
- Encourage user research, usability testing, and customer feedback; measure design quality by functional effectiveness and usability.
F. Business Analysis & Requirements Management
- Lead the BA function and set standards for requirements gathering, analysis, and specification.
- Translate business needs into functional requirements, user stories, use cases, acceptance criteria, and business rules.
- Ensure requirements cover normal flows, alternate scenarios, exceptions, dependencies, permissions, and edge cases.
- Identify contradictions, ambiguities, missing requirements, and scope gaps before development begins.
- Maintain traceability between business objectives, requirements, workflows, designs, API specifications, and test scenarios.
- Review and approve functional specifications before development handoff.
G. Technical Documentation & Product Specifications
- Lead the Technical Documentation Writer and set documentation standards.
- Ensure preparation and maintenance of PRDs, functional specifications, API specifications, process documentation, and user guides.
- Maintain a single source of truth for approved product functionality and functional decisions.
- Ensure consistency between requirements, process diagrams, interface designs, API specifications, and implementation details.
- Review and approve documentation before sharing with Engineering, QA, Implementation, Support, or clients.
- Keep documentation current as product functionality evolves.
H. Client Communication & Requirements Discovery
- Act as a primary product-facing contact for clients on business requirements, ERP functionality, workflows, and functional design.
- Lead client meetings, requirements-gathering sessions, discovery workshops, and design walkthroughs.
- Ask structured questions to identify the actual business problem behind each requested feature.
- Demonstrate workflows, wireframes, prototypes, or functional concepts to clients.
- Professionally challenge unclear, conflicting, or unnecessarily complex client requests.
- Manage client expectations on functionality, dependencies, limitations, timelines, and scope.
- Maintain records of meeting outcomes, approved requirements, functional decisions, open questions, and change requests.
- Obtain appropriate approvals and manage clarifications through development handoff.
I. Core Product vs. Client-Specific Customization Decisions
- Evaluate every client requirement and classify it as core product, configurable, integration-based, client-specific customization, deferred, or rejected (see Section 5).
- Assess business value, strategic alignment, relevance to the broader customer base, effort, feasibility, scalability, maintenance cost, and commercial implications.
- Identify recurring client requirements that could become reusable features.
- Assess the impact of changes on existing modules, business rules, data structures, APIs, workflows, permissions, reporting, and other customers.
- Establish clear boundaries between standard product functionality and client-specific deliverables.
- Document the rationale for major decisions and communicate outcomes to clients and internal teams.
- Ensure customizations do not compromise maintainability, scalability, upgradeability, or consistency of the core product.
J. Team Leadership & Cross-Functional Coordination
- Define transparent roles, responsibilities, deliverables, quality standards, and performance expectations for the team.
- Allocate work based on business priorities, dependencies, complexity, and capacity.
- Establish a structured process from client discovery through requirements, functional design, UI/UX, documentation, handoff, and validation.
- Review deliverables across disciplines for consistency between workflows, specifications, designs, and documentation.
- Resolve functional disagreements, remove blockers, and make timely decisions.
- Coach team members and build a culture of accountability, analytical thinking, and end-to-end ownership.
- Coordinate with Product Management, Engineering, QA, Implementation, Sales, and business stakeholders.
K. Decision-Making & Problem-Solving
- Take ownership of product design and functional decisions without requiring constant senior management intervention.
- Break down complex, ambiguous business problems into structured, actionable solutions.
- Evaluate alternatives on business impact, customer value, feasibility, risk, complexity, and maintainability.
- Resolve conflicts between modules, workflows, stakeholders, and business rules.
- Identify risks early and recommend corrective actions.
- Escalate strategic, contractual, financial, or high-impact decisions outside the role’s authority.
