Job Overview

We are looking for an experienced, proactive, and technically skilled Executive Assistant to support the Managing Director in client relations, advanced Excel reporting, GST billing compliance, exhibitions, AI-based workflows, and cross-departmental coordination within our nutraceutical manufacturing business.

Key Responsibilities

- Represent the MD in client interactions, business meetings, and professional communications.
- Plan and coordinate national exhibitions, trade shows, corporate events, and VIP client visits.
- Manage advanced Excel tasks, MIS reports, sales dashboards, inventory trackers, and production updates.
- Monitor billing and dispatch operations, GST documentation, e-invoicing, and e-way bill generation.
- Coordinate with R&D;, QA, QC, Production, HR, Accounts, and IT departments.
- Use AI tools such as ChatGPT and Gemini to improve productivity and streamline workflows.
- Support recruitment, onboarding, and other HR coordination activities.
- Track business priorities, NPD timelines, project deadlines, and departmental action items.
- Prepare meeting agendas, Minutes of Meetings (MoM), and follow up on assigned tasks.
- Coordinate travel arrangements and itineraries for the MD when required.

Qualifications & Skills
- Education: M.Tech, B.Tech, or MBA is mandatory
- Experience:



Minimum 5 years of relevant experience in executive assistance, operations, client coordination, or data management, preferably in manufacturing, FMCG, pharmaceutical, or nutraceutical industries.
- Advanced Excel: Expertise in VLOOKUP/XLOOKUP, IF formulas, Pivot Tables, data validation, conditional formatting, and dashboards.
- GST & Billing: Practical knowledge of GST portals, e-invoicing, and e-way bill generation is mandatory.
- AI Tools: Strong proficiency in ChatGPT, Gemini, and other productivity tools.
- CRM/ERP: Experience with CRM and task management software; Bitrix24 knowledge is an advantage.
- Excellent English communication, client-handling, analytical, and problem-solving skills.
- Willingness to travel for exhibitions and business requirements.

Interview Requirement: An advanced Excel practical test will be conducted during the face-to-face interview. Working Hours & Benefits

- Monday to Saturday
- 8 working hours per day
- CL, SL, and EL benefits as per company policy
