Job Title: Data Entry Operator

Reporting To: Hospital Administrator / Department Head

Job Summary The Data Entry Operator will be responsible for accurate data entry, maintenance, verification, and analysis of hospital records using advanced MS Excel and the Hospital Information Management System (IHMS). The position requires strong computer skills, attention to detail, data confidentiality, and the ability to coordinate with OPD, IPD, OT, MRD, billing, pharmacy, and other hospital departments.

Key Roles and Responsibilities

- Enter, update, verify, and maintain patient records, registration details, OPD/IPD data, surgery records, billing information, and departmental reports in IHMS.
- Demonstrate advanced knowledge of MS Excel, including PivotTables, VLOOKUP/XLOOKUP, IF formulas, conditional formatting, data validation, charts, and data consolidation.
- Prepare daily, weekly, and monthly MIS reports covering patient footfall, surgeries, admissions, discharges, revenue, and departmental performance.
- Reconcile data between IHMS, Excel sheets, OT registers, patient files, and other hospital records to identify and correct discrepancies.
- Maintain accurate records of Ayushman Bharat PM-JAY beneficiaries, surgery details, claim-related documentation, and portal updates, as assigned.
- Generate department-wise dashboards, summaries,



and analytical reports to support management decisions and operational planning.
- Ensure timely data entry, proper documentation, systematic file management, and regular backup of authorized electronic records.
- Coordinate with concerned departments to collect pending information, resolve data mismatches, and ensure timely submission of reports.
- Maintain strict confidentiality of patient information and comply with hospital policies, data protection requirements, and applicable documentation standards.
- Support IHMS data management, troubleshoot routine system-related issues, and assist in improving data accuracy and reporting efficiency.

Required Qualifications and Skills

- Graduate in any discipline; computer or IT qualifications preferred.
- Advanced proficiency in MS Excel and working knowledge of MS Word and email.
- Practical experience with IHMS/HMIS software and hospital data management.
- Strong analytical, organizational, and problem-solving skills.
- High accuracy, integrity, time management, and ability to meet reporting deadlines.

Expected Outcome: Ensure accurate, timely, and reliable hospital data management to support smooth operations, effective monitoring, and informed management decisions. Pay: ₹18,000.00 - ₹22,000.00 per month
