About the role:

As part of Cvent’s Meetings & Events team, you will own the planning, execution, optimization, and performance management of Cvent’s EMEA & APAC external event portfolio, spanning 60+

annual conferences, trade shows, summits, award programs, executive experiences, and experiential marketing activations.

This is a high-visibility, cross-functional role that combines event strategy, portfolio planning, event operations, stakeholder management, budget ownership, vendor management, and performance analytics. You will be responsible for turning business priorities into an effective event roadmap, identifying the right industry opportunities, and ensuring every event delivers against defined business and marketing objectives.

The ideal candidate is equal parts strategist, project manager, marketer, and operator—someone who can evaluate whether an event is worth the investment, build the business case, manage the details, and ultimately measure the impact.

You will work closely with Field Marketing, Sales, Demand Generation, Partnerships, Finance,

Procurement, Brand, and senior stakeholders across EMEA and APAC to deliver a consistent and high impact Cvent presence in market.

What you will be doing:

Event Portfolio Strategy & Planning

- Own and manage a portfolio of 60+ external events annually across EMEA and APAC,

including trade shows, conferences, summits, award programs, executive experiences, partner events, and experiential activations.
- Develop and maintain a regional event roadmap, aligned to business priorities, target audiences, industry segments, pipeline objectives, and regional marketing strategy.
- Research and evaluate new event opportunities using factors such as audience quality, ICP alignment, historical performance, competitive presence, speaking opportunities,

sponsorship value, cost, and potential pipeline impact.
- Make data-informed recommendations on whether Cvent should attend, exhibit, sponsor,

speak, host, partner, or decline an opportunity.
- Conduct post-event performance reviews and use insights to inform future-year event strategy,

investment decisions, and portfolio optimization.
- Identify opportunities to consolidate, scale, reduce, or replace events based on performance and strategic relevance.

End-to-End Event Ownership

- Own events from research and opportunity assessment through planning, execution,

measurement, and post-event optimization.
- Develop event plans, timelines, budgets, deliverables, stakeholder responsibilities, and success metrics for each program.
- Partner with Field Marketing and Sales to define event objectives, target accounts, audience strategy, messaging, engagement plans, and follow-up motions.
- Coordinate event logistics including registration, sponsorship deliverables, booth/exhibit requirements, AV/production, branding, shipping, staffing, speaker management, hospitality, lead capture, and on-site execution.

- Support and execute high-touch experiential and executive experiences designed to deepen customer and prospect engagement.
- Ensure consistent Cvent brand standards and attendee experiences across regional events.
- Develop scalable playbooks, templates, and processes to improve execution efficiency across the event portfolio.

Budget, ROI & Performance Management

- Own event-level and portfolio-level budget planning, forecasting, actuals, reforecasting, and variance management.
- Partner with Finance and Marketing Operations to ensure accurate tracking of event investment and spend.
- Establish and monitor event KPIs, including registrations, attendance, MQLs, SQLs, pipeline,

Closed Won, influenced revenue, engagement, cost per lead, cost per opportunity, and

ROI.

- Build and maintain event performance reporting for Sales, Marketing leadership, and other stakeholders.
- Conduct post-event ROI and performance analysis, identifying what worked, what did not, and where future investment should be adjusted.
- Use historical performance and benchmark data to inform event investment decisions and annual planning.
- Identify opportunities to improve cost efficiency, vendor economics, sponsorship value, and overall event ROI.

Stakeholder & Cross-Functional Management

- Act as the central event program owner, coordinating stakeholders across Field Marketing,

Sales, Demand Generation, Partnerships, Brand, Product Marketing, Finance,

Procurement, Legal, and Operations.

- Manage stakeholder expectations, timelines, dependencies, and decision-making across multiple concurrent programs.
- Build strong relationships with regional Sales and Marketing leaders to understand business priorities and translate them into event strategies.
- Proactively communicate program status, risks, budget changes, performance, and recommendations to stakeholders and leadership.
- Manage complex projects in a matrixed, global organization, often across multiple time zones and markets.

Vendor & Partner Management

- Research, evaluate, negotiate, onboard, and manage event agencies, production partners,

venues, contractors, and other event suppliers across EMEA and APAC.
- Build and maintain a regional vendor ecosystem and preferred supplier database.
- Manage vendor contracts, scopes of work, deliverables, invoices, and performance against agreed SLAs.
- Negotiate pricing and sponsorship packages to maximize value and manage overall event investment.
- Evaluate vendor performance and make recommendations on future partnerships.
- Ensure all vendor engagements follow Cvent's procurement, legal, finance, and compliance processes.

M&A; & Event Portfolio Integration

- Support event planning and portfolio integration associated with mergers, acquisitions, and business integrations.
- Assess acquired-company event portfolios and identify opportunities to consolidate, integrate,

rebrand, or retain events based on strategic fit, audience overlap, investment, and performance.
- Partner with internal stakeholders to develop transition plans and ensure continuity of critical events and customer experiences.
- Map acquired event calendars against Cvent's existing roadmap to identify duplication,

whitespace, cost efficiencies, and strategic opportunities.
- Support integration of event vendors, contracts, sponsorship commitments, budgets, and operational requirements.

Risk Management & Operational Excellence

- Identify potential event risks early, including geopolitical developments, regulatory requirements, venue issues, vendor dependencies, budget risks, travel constraints, and changes in business priorities.
- Develop contingency plans and present explicit options and recommendations when program requirements change.
- Manage multiple high-priority events simultaneously while maintaining strong attention to detail and execution quality.
- Continuously identify opportunities to automate, standardize, simplify, and scale event planning and reporting processes.
- Contribute to broader Meetings & Events initiatives that improve operational efficiency and the attendee/customer experience.

What you will need for this position:

- 5-7 years of experience in event marketing, trade shows, experiential marketing, event production,

or field marketing.

executive events, and/or experiential activations.

- Demonstrated experience managing budgets, vendors, timelines, and multiple stakeholders simultaneously.
- Experience supporting or managing VIP / executive experiences and high-touch customer engagements is preferred.
- Experience supporting event portfolio planning in the context of M&A; or business integration is a strong plus.

Strategic & Analytical Skills

- Strong understanding of event marketing strategy, portfolio planning, and demand generation.
- Ability to evaluate events through a business and ROI lens, not just an executional lens.
- Strong analytical skills with the ability to interpret event performance data and translate it into actionable recommendations.
- Comfortable working with metrics such as MQLs, SQLs, pipeline, Closed Won, conversion,

attendance, cost per lead, influenced revenue, and ROI.
- Strong research and competitive intelligence skills with the ability to synthesize large amounts of information into clear recommendations.
- Strong financial acumen and experience managing event budgets, forecasts, actuals, and variance analysis.

Stakeholder & Execution Skills

- Excellent project management skills with the ability to manage multiple complex events,

deadlines, and stakeholders simultaneously.
- Strong communication and presentation skills, with the ability to communicate effectively with both working teams and senior leadership.
- Strong vendor negotiation and relationship-management skills.
- Highly organized, detail-oriented, proactive, and comfortable operating in a fast-paced environment.
- Strong problem-solving skills and the ability to quickly develop contingency plans when circumstances change.
- Comfortable working independently while operating effectively within a global, matrixed organization.
- Willingness to work across time zones and travel internationally as required.

Technology & Tools
