We are looking for a technically qualified, organised and proactive skilled to coordinate backend activities for our HVAC and MEP projects and support procurement. The role involves understanding material requirements, obtaining supplier quotations, preparing comparisons, coordinating deliveries and maintaining accurate project and purchase records.

Key responsibilities

Technical and project coordination

- Coordinate with project engineers and site teams for material requirements, work progress and pending actions.
- Review BOQs, specifications and material requisitions to identify purchasing requirements.
- Assist in preparing quotations, offers, work orders, material submissions and project documentation.
- Maintain trackers for material requirements, deliveries, project progress and outstanding issues.
- Follow up with clients, vendors and internal teams for approvals and required documents.

Procurement and vendor coordination

- Obtain quotations from suppliers for HVAC equipment, piping, valves, insulation, ducting, electrical accessories and other project materials.
- Prepare comparative statements covering technical compliance, price,



taxes, freight, delivery timelines, warranty and payment terms.
- Negotiate commercial terms within approved limits and recommend suitable suppliers.
- Prepare purchase orders for approval and follow up on order acceptance, dispatch and delivery.
- Check supplied quantities and specifications against purchase orders and coordinate resolution of shortages, damage or incorrect supplies.
- Develop and maintain a reliable vendor database, current price records and supplier performance history.

Documentation and commercial support

- Maintain purchase orders, quotations, delivery challans, invoices, warranties and relevant technical documents.
- Coordinate with accounts for invoice verification and vendor payments as per approved terms.
- Track procurement commitments against project budgets and flag cost variations or delivery risks.
- Prepare periodic reports on procurement status, pending deliveries and coordination requirements.
