Procurement Executive – Civil / Mechanical

We are looking for a Procurement Executive – Civil / Mechanical to support sourcing and purchasing activities for UAE and Saudi Arabia projects.

The role will involve supplier sourcing, RFQs, quotation comparison, price negotiation, purchase order follow-up, supplier development, and procurement coordination for civil, mechanical, fire protection, and industrial materials.

The ideal candidate should have good knowledge of procurement processes, robust supplier coordination and negotiation skills, and the ability to obtain competitive pricing while ensuring quality and timely delivery.

Key Responsibilities

- Source civil, mechanical, fire protection, and industrial materials from reliable suppliers.
- Prepare and send RFQs (Request for Quotations) to suitable suppliers.
- Obtain a minimum of 3 competitive quotations wherever practical.
- Prepare commercial comparison sheets and evaluate supplier quotations.
- Negotiate prices, payment terms, delivery schedules, warranties, and other commercial conditions.
- Track procurement activities from enquiry/RFQ through purchase order and final delivery.
- Follow up with suppliers to ensure on-time delivery.
- Develop and maintain an approved supplier database.
- Identify alternative suppliers and develop new sources to improve pricing, availability, and supply continuity.
- Support OEM sourcing and international procurement activities.




- Coordinate with internal teams regarding material specifications, quantities, delivery requirements, and project priorities.
- Maintain accurate RFQ, quotation, comparison, PO, and delivery records.
- Use AI tools and digital platforms for supplier research, quotation comparison, market research, and procurement documentation.

Key Performance Indicators (KPIs)

- RFQ turnaround: Same day / within 24 hours for standard items.
- Minimum 3 comparable quotations for critical purchases, wherever practical.
- Documented cost savings against initial or budget pricing.
- 100% accuracy in PO and delivery tracking.
- Regular monitoring of supplier response time and on-time delivery performance.

Qualifications & Preferred Skills

- Diploma or Degree in Civil Engineering, Mechanical Engineering, Procurement, Supply Chain, or a related discipline.
- Experience in procurement, purchasing, sourcing, or supplier management is preferred.
- Knowledge of civil, mechanical, fire protection, or industrial materials will be an advantage.
- Strong negotiation, communication, and vendor management skills.
- Ability to compare quotations and evaluate commercial terms and supplier offers.
- Strong follow-up and coordination skills.
- Good working knowledge of MS Excel and digital procurement tools.
- Ability to work independently and manage multiple procurement requirements simultaneously.
- Familiarity with AI tools for research, comparison, and document
