About us
At Leanwatts, we develop cutting-edge power electronic solutions for electric mobility and energy applications through continuous research, engineering, and manufacturing. Our “Designed and Made in India” approach drives us to build reliable, high-performance products for the future of transportation and energy. What is this role about? We are looking for a Production Documentation & Systems Coordinator to create and maintain each work order and its complete supporting document pack in Leanwatts systems/ERP and as signed physical records. You will ensure every document required by the customer and our internal process is identified, prepared, tracked, completed, and filed from work-order creation through production, testing, packaging, pre-dispatch inspection, and closure. You will prepare records using approved plans, information, and templates, keep them current, and ensure every required entry and signature is obtained from the responsible person. You will work with PPC, Production, Quality, Testing, Stores, and the Factory Operations Lead to maintain a complete and traceable record for each work order. The responsible teams perform the operations, checks, and tests and approve their results; this role maintains the documentation and system records supporting that work. Primary KPI: 100% of applicable documents required by the customer and internal process are accounted for on every work order and completed by the required stage. Each document must be at the correct revision, contain the required entries and signatures/approvals, agree with the system record, and be traceable and retrievable in its required physical and digital form. Pending documents must have a named owner and due date and remain visible until resolved; any not-applicable status requires confirmation from the authorised process owner. What you will do at Leanwatts
• Work-Order Creation & Maintenance: Create work orders in Leanwatts systems/ERP from approved production instructions, with the correct product, quantity, dates, sales-order reference where applicable, and approved BOM/routing references. Prepare the corresponding physical work-order sheet, maintain approved changes, and keep system and paper records aligned.
• Customer & Internal Document-Pack
Requirements:
Maintain a document-requirement checklist for each work order, confirming applicable customer/order-specific requirements with Sales and Quality and internal requirements with the process owners. Prepare the current approved templates for line startup, process quality, in-process testing, End-of-Line (EoL) testing, packaging, Pre-Dispatch Inspection (PDI), and any other required records. Track each document’s revision, owner, required stage, due date, physical/digital location, and completion status.
• Physical Document Issue & Control: Print and issue the correct document pack before the relevant operation begins. Maintain an issue register showing the work-order number, document references and revisions, recipients, and location.
Control replacement copies and revised sheets so the current approved version is identifiable and completed records remain traceable.
• Entries, Signatures & Stage Follow-Up: Follow each work order through the floor and collect the required entries, actual quantities, dates, test/inspection references, and signatures from the operators, testers, inspectors, and approvers concerned. Check completeness at each stage, return incomplete records to their owners, and escalate missing information or signatures promptly.
• Leanwatts systems/ERP Records & Evidence: Enter and maintain work-order information and authorised updates from verified source records. Ensure production progress, recorded results, quantities, and document references agree with the physical pack. Maintain signed scans, attachments, or linked records through the approved filing method, and keep each document identifiable against its work order.
• Traceability & Reconciliation: Reconcile work-order references, item and batch/serial details where applicable, material issue/return records, production quantities, testing records, packaging, and PDI documents. Track associated deviations, rework, retest, and approval records where required. Log mismatches and obtain verified corrections from the responsible teams.
• Document Completion, Closure & Archive: Reconcile the completed pack against the customer and internal document-requirement checklist. Confirm required records, signatures, approvals, and customer submission copies are complete and consistent; escalate gaps before requesting closure or recording an approved release status. Compile the final signed physical file and digital record, coordinate customer document handover through the responsible team where required, and archive and retrieve records under the approved process.
• Department Training & Process Support: Train users on their work-order entries, document completion, signatures, update timing, and Leanwatts systems/ERP workflows. Maintain simple approved instructions and examples, provide refresher support, and report recurring documentation problems or system issues to the responsible owner.
• KPI & Pending-Document Reporting: Maintain a daily tracker showing required versus completed documents for each work order, missing entries/signatures, overdue items, locations, responsible owners, and due dates. Report documentation completeness against the 100% target and escalate gaps to the Factory Operations Lead. Support accurate related sales-order and inventory references and resolve discrepancies affecting work-order traceability. Must have requirements 1. Education & Relevant Experience
•
Education:
Diploma or bachelor’s degree in engineering, operations, commerce, business administration, computer applications,
or a related field; equivalent relevant practical experience may also be considered.

Ability to translate confirmed customer requirements and internal process requirements into a complete work-order document checklist.

• User Training: Ability to demonstrate the correct way to complete a document or system entry, explain required fields and signatures, and help department users maintain the records consistently.
• Record Integrity: Maintain factual, legible records and follow the approved correction process. Obtain signatures and test/inspection results from the responsible people, preserve supporting evidence, and record completion or approval only when the required evidence is available. 5. Preferred Advantages
• Relevant Industry Exposure: Experience in electronics, electrical equipment, power electronics, or related manufacturing, working with production travellers, job cards, quality records, test reports, or customer documentation packs.
• Process Improvements: Experience improving document completeness, reducing missing signatures, organising work-order archives, supporting document retrieval for audits or customer queries, or helping teams adopt digital manufacturing records.
