Programme Delivery Manager – Executive Education
Functional title - Programme Delivery Manager, Executive Education
Reports to - Senior Manager, Executive Education
Department - Executive Education
Location - Kalyan-Kamba
Joining - Immediate
Experience - 2–4 years in programme delivery; executive education or business-school experience preferred
About the role
You will make every Executive Education programme run the way it was designed and make every client and participant feel looked after while it does. BITSoM Executive Education is an emerging unit, offering custom programmes for corporate clients and open-enrolment programmes, delivered by BITSoM faculty and by visiting faculty and partner institutions.
You own delivery from the signed scope of work to the closing feedback report. You are not responsible for curriculum design or business development, but you work closely with both and must be able to tell the design and sales teams when something promised cannot be delivered well.
You will be part of the founding delivery team, so processes, templates and standards will be set by the people who join now.
What you will own
Before the programme
- Turn the signed scope of work into a delivery plan: calendar, run-book, responsibilities, risks and dependencies.
- Brief faculty on cohort profile, client context and logistics; confirm session plans, materials and technology needs ahead of time.
- Handle participant onboarding: nominations, joining instructions, pre-work, LMS access and special requirements.
- Arrange residential and logistical needs: venues, accommodation, meals, transport, and travel and visas for visiting faculty.
During the programme
- Be the single point of contact for the client sponsor, faculty and participants on the ground.
- Run each day to plan: attendance, session transitions, materials, technology, and quick resolution of issues before participants notice them.
- Gather participant feedback during the programme, not only at the end, and act on it.
- Escalate early to the Senior Manager when a risk,
a complaint or a scope change needs a decision.
After the programme
- Close the programme within an agreed time: feedback analysis, sponsor debrief, completion records, certificates and learning-impact follow-up.
- Record what went well and what did not, and feed it back into the run-book for the next programme.
- Keep client relationships warm for repeat business and refer opportunities to the BD team.
Communication standards
Executive clients and visiting faculty judge BITSoM by how smoothly things run and how quickly they hear back. The role is expected to:
- Write clear, accurate, courteous emails and joining instructions that need no follow-up questions.
- Give clients a status update at agreed points without being asked, including when the news is not good.
- Respond to participants, faculty and sponsors within an agreed time, and close every query visibly.
- Remain calm and skilled with senior participants, and with participants who are unhappy.
- Keep a record of every commitment made to a client or faculty member, so nothing depends on memory.
Budgets, contracts and reporting
- Prepare a delivery budget for each programme and track actual spend against it; flag overruns before they happen.
- Prepare faculty contracts and honorarium paperwork, and coordinate vendor and procurement approvals.
- Raise invoices to clients and track collections with Finance, in line with the contracted milestones.
- Follow BITSoM and UGC compliance requirements for programme records, certificates and approvals.
- Maintain accurate programme data (participants, sessions, attendance, feedback, costs) in the LMS and CRM.
- Produce a short programme report for each cohort covering delivery against plan, feedback scores, cost against budget and lessons learned.
Who we are looking for?
Must have
- Bachelor's degree (Master's preferred) and 2–4 years of experience running programmes, courses or events with faculty, clients or senior participants.
- A record of detail-oriented work: run-books, checklists, schedules and records that other people rely on.
- Excellent written English and a professional manner with senior people.
- Working knowledge of Excel, and comfort with an LMS or CRM and with reporting data in a clear format.
- Experience handling budgets, vendor payments or invoices, even at small scale.
- Ability to work on campus during programmes, including long days and occasional weekends.
Good to have
- Experience in executive education, a business school or corporate learning.
- Experience coordinating visiting or international faculty, including travel and visas.
- Experience with residential or on-campus programme logistics.
- Experience with Salesforce, Power BI or similar tools.
What we value
- Ownership: you notice what is about to go wrong and act without being asked.
- Humility and teamwork in a small, new team where everyone does a bit of everything.
- Interest in building a business-education institution, not only holding a job in one.
Success and selection
After 3 months: you have run at least one cohort end to end with support, written or improved the run-book for it, and are the first contact for faculty and clients on logistics.
After 6 months: you run programmes with little supervision, close each one on time with a feedback report, and clients and faculty name you as the reason delivery was smooth.
How we select: a conversation about past programmes you have delivered, followed by a short exercise. The exercise asks you to draft a client joining-instructions email and spot the errors in a sample schedule and budget. We use it to see attention to detail and the way you write to a client.
