About the Role

Da’Villas is looking for a creative, organised, and result-oriented Assistant Wedding Planner to support the end-to-end planning and execution of luxury weddings, destination weddings, and private celebrations.

The ideal candidate should have a strong eye for design, excellent coordination skills, a proactive approach to research, and the ability to manage clients, convert leads, and execute events seamlessly from concept to completion.

Key Responsibilities

- End-to-End Wedding Planning & Execution

Assist in planning and executing weddings, destination weddings, and luxury celebrations from conceptualisation to final execution.

Coordinate with clients, vendors, venues, and internal teams to ensure seamless event delivery.

Prepare timelines, checklists, budgets, and execution plans.

Conduct venue visits, site inspections, and on-ground event coordination.

- Creative Designing & Mood Boards

Develop creative concepts, wedding themes, décor ideas, and visual mood boards.

Research the latest wedding trends, colour palettes, décor styles, and experiential concepts.

Create presentations and proposals tailored to client preferences and budgets.

Bring fresh, innovative ideas to create unique and memorable celebrations.

- Vendor & Property Research

Research and build a network of reliable wedding vendors, decorators, caterers, photographers, entertainment artists, and production teams.

Discover new luxury villas, resorts, hotels, and destination wedding properties across India.

Evaluate venues based on suitability, pricing, capacity, aesthetics, and client requirements.

Maintain an updated database of vendors, properties, pricing, and services.

- Sales, Lead Management & Conversion

Handle incoming wedding and celebration enquiries and understand client requirements.





Follow up with prospective clients and assist in converting leads into confirmed bookings.

Prepare customised proposals, presentations, and quotations.

Maintain lead records, follow-up schedules, and conversion reports.

Work towards assigned monthly sales and booking targets.

- Client & Stakeholder Coordination

Maintain professional communication with clients throughout the planning process.

Coordinate meetings, property visits, vendor discussions, and planning reviews.

Ensure client expectations are aligned with budgets, timelines, and execution capabilities.

Support the team in delivering a premium and personalised client experience.

Key Performance Indicators (KPIs)

Achievement of assigned monthly lead conversion and booking targets.

Timely follow-ups and effective lead management.

Quality and creativity of mood boards and wedding proposals.

Number of new properties and vendors researched and onboarded.

Efficient coordination and timely execution of events.

Client satisfaction and overall event quality.

Requirements

1–3 years of experience in wedding planning, event management, hospitality, or luxury celebrations.

Strong organisational, communication, and coordination skills.

Creative mindset with an understanding of wedding décor, themes, and mood boards.

Strong research skills and willingness to explore new destinations, properties, and wedding trends.

Sales-oriented approach with the ability to follow up and convert potential clients.

Proficiency in PowerPoint, Canva, Excel, and presentation tools.

Willingness to travel for venue visits and event execution.

- Ability to multitask, work under pressure, and manage deadlines.
