JOB OVERVIEW

The Parts Manager is responsible for the complete management of the spare parts department in the BharatBenz 3S dealership. This includes inventory control, DMS-based parts ordering, GRN processing, bin management, workshop coordination, and ensuring zero stockout on fast-moving parts. The role demands someone who combines automobile dealership parts experience with strong accounting and DMS competency. Accuracy, speed, and system discipline are the hallmarks of this role.

KEY RESPONSIBILITIES :

- Manage the complete spare parts inventory for the dealership — BharatBenz genuine parts and accessories
- Place timely parts orders through the BharatBenz dealer parts portal; track order status and coordinate delivery timelines
- Process Goods Receipt Notes (GRN) accurately upon parts arrival — verify against invoice, inspect for damage, update

DMS stock

- Maintain bin management system — ensure all parts are correctly labelled, stored, and retrievable in minimum time
- Identify and maintain reorder levels for quick-moving parts — ensure zero stockout on common consumables (oil filters, air

filters, brake linings, belts, oil)

- Coordinate with technicians and Service Advisor for real-time parts requisition — issue parts against signed DMS job card

- Manage dead stock and slow-moving inventory — prepare monthly dead stock report and present to management
- Conduct monthly physical stock audit — reconcile physical count against DMS system stock and report variances
- Handle customer counter sales of spare parts — issue bill through DMS and maintain accurate billing records
- Coordinate with accounts for parts invoice reconciliation, vendor payments, and OEM ledger management
- Submit daily and monthly parts MIS: parts billed value, order status, stock levels, pending GRNs
- Ensure warranty parts are tagged, stored separately,



and sent back to BharatBenz as per warranty return instructions
- Train parts picker / floor support staff on correct parts issue procedure and bin management.

REQUIRED SKILLS :

- Strong knowledge of heavy commercial vehicle spare parts — engines, drivetrain, electrical, body, and consumables
- Proficiency in DMS-based parts ordering, GRN processing, and stock management — Mandatory
- Tally ERP knowledge for billing, ledger management, and invoice tracking — Mandatory
- Ability to maintain accurate physical and digital stock records simultaneously
- Strong coordination skills — works between workshop, accounts, and OEM parts portal daily.

PREFERRED EXPERIENCE :

- Minimum 3-7 years in spare parts management at an authorized HCV dealership — BharatBenz, Tata Motors CV, Ashok Leyland, or Eicher preferred
- Prior experience with BharatBenz parts portal and ordering process is a strong advantage
- Experience managing a parts department with ₹10-30 lakh monthly parts throughout

EDUCATIONAL QUALIFICATION :

- Diploma / ITI in Automobile / Mechanical preferred
- B.Com or equivalent commerce background is an advantage for billing and accounting coordination.

SOFTWARE & SYSTEM KNOWLEDGE :

- DMS (Dealer Management System) — Mandatory; BharatBenz DMS preferred
- Tally ERP — Mandatory
- MS Excel — for stock tracking, dead stock reports, and MIS
- BharatBenz Parts Ordering Portal — training will be provided
