JOB DESCRIPTION:

Job Title: Manager – MD's Office (PR & Corporate Affairs)

Department: MD's Office

Experience: Around 3-5 Years

Reporting To: Managing Director (MD)

Location: Ahmedabad- Corporate office

Nature of Role: Dynamic and evolving; scope is not limited to this Job Description

1. Job Purpose

To manage the Managing Director's desk end-to-end and act as the MD's trusted extension in public relations, liaisoning, stakeholder engagement, and day-to-day coordination. The role builds and maintains the organisation's professional relationships and corporate image with key stakeholders, architects, interior designers, builders, contractors, consultants, industry associations, government and regulatory offices (where required), and business partners, across India and international locations.

The incumbent should be extroverted, presentable, and technology-savvy, with strong interpersonal, communication, and execution skills, and the ability to effectively use AI tools to enhance productivity and efficiency.

This is not a fixed-routine role: new assignments, new people, and new challenges will arise every day, and the incumbent must stay ready to learn, adapt, and take up whatever the MD requires from time to time.

1. Key Responsibilities
2. Relationship Management & Stakeholder Engagement

- Build and maintain professional relationships with architects, interior designers, builders, contractors, consultants, business leaders, industry associations, and other important stakeholders.
- Identify relevant stakeholders and professional networks to strengthen the organisation's external relationships and corporate presence.
- Arrange meetings with important clients and business partners for relationship-building purposes, and coordinate visits, hospitality, and follow-ups.
- Maintain a well-organised stakeholder database (contacts, interactions, commitments, important dates) and keep regular follow-ups going to strengthen long-term relationships.
- Share approved company information, corporate updates, and invitations with stakeholders.

1. Liaisoning

- Coordinate with government departments, regulatory authorities, industry bodies, and other external institutions whenever required.
- Understand official processes and documentation requirements, and follow up on applications, approvals, and correspondence until closure.
- Coordinate with internal departments such as Legal, Compliance, Administration, and HR for documents and inputs needed in liaisoning matters.
- Maintain records of liaisoning activities, communications, and pending matters, with a clear status tracker shared regularly with the MD.

1. PR & Corporate Communication

- Represent the MD and the company professionally at meetings and events, and communicate agreed information accurately.
- Maintain a positive corporate image through professional conduct, timely communication, and approved PR initiatives.

- Coordinate with media contacts and PR agencies, where applicable, as per management direction.
- Monitor industry news, competitor activity, and relevant market developments, and brief the MD on matters that need attention.

1. MD's Desk & Executive Coordination

- Attend meetings on behalf of the MD when authorised, record key discussion points, decisions, and commitments, and track them to timely closure.
- Coordinate with internal departments (Legal, Compliance, HR, Administration, Finance, Marketing, and others) for inputs, approvals, and closure of matters assigned by the MD.
- Provide regular updates to the MD on important matters, pending items, and stakeholder communication status.
- Handle the MD's correspondence, documents, and files, and maintain strict confidentiality of business and stakeholder information at all times.

1. Events, Travel & Corporate Representation

- Attend corporate meetings, official visits, industry events, and stakeholder engagements across India and internationally, as required.
- Participate in industry forums, associations, chambers, and professional gatherings to strengthen the company's network.
- Represent the company at events and functions in line with business etiquette and cultural protocol.
- Prepare post-event summaries and maintain a record of events, visits, and contacts made.

1. Any Special Assignments & Ad-hoc Initiatives

- Take up any new task, project, or initiative assigned by the MD from time to time, even if it is outside the listed responsibilities.
- Quickly research and learn new subjects, processes, industries, or tools as required by the MD's priorities, and deliver with ownership.
- Handle urgent and unplanned situations calmly, with sound judgement, and keep the MD informed.

1. Nature of the Role

This role sits at the centre of the MD's work and is dynamic by design. The responsibilities listed in this document are a starting point, not a limit. Every day may bring a new challenge, a new stakeholder, or a new requirement, and the incumbent is expected to:

- Stay curious and ready to learn new things quickly, without waiting for detailed instructions.
- Be proactive: anticipate the MD's needs, prepare in advance, and offer solutions along with problems.
