Job Title: Purchase Executive (Contractual Job)

Reports To: Operations Manager

Key Responsibilities:

- Collaborate with Finance, Marketing, Supply Chain, and Production teams to understand and fulfil procurement needs.
- Use Tally ERP to create and manage Purchase Orders—capturing supplier, item, quantity, rate, and expected delivery dates, and monitoring through Tally’s Purchase Order Book.
- Prepare comparative quotes and follow up with multiple vendors to secure competitive pricing, quality, and delivery terms.
- Negotiate prices, delivery schedules, and payment conditions to optimize procurement value.
- Track POs in Tally, confirm delivery timelines, and proactively resolve any supplier delays or issues.
- Inspect goods upon arrival and coordinate with Quality or Production teams to address any non-conformance.
- Maintain comprehensive records in Tally—PO logs, delivery schedules, invoices, and supplier details.
- Reconcile supplier invoices against POs and receive documentation; coordinate closely with Accounts to enable timely payments.
- Monitor inventory and place replenishment orders proactively to avoid stockouts.
- Cultivate and maintain strong supplier relationships; promptly resolve issues related to delivery, quality, or compliance.
- Ensure compliance with internal purchasing policies and statutory regulations (GST, TDS).
- Generate procurement reports—cost analyses, expenditure summaries,



and supplier performance metrics.
- Evaluate suppliers based on delivery, quality, pricing, and compliance metrics.
- Identify procurement risks (e.g., dependency on single source suppliers) and recommend mitigation actions.
- Drive process improvements—streamlining PO creation, record management, and Tally usage.
- Support internal and external audits with documentation maintained in Tally and BTP sourcing files.
- Train internal stakeholders and team members in efficient Tally PO processes and BTP sourcing methods.
- Stay updated on BTP best practices and precision sourcing trends.
- Provide feedback to improve Tally systems or sourcing documentation workflows.

Qualifications:

- Bachelors/ Master’s degree in Science, Chemistry, Pharmaceuticals, Biology, Engineering, or related field

Skills:

- Tally and ERP experience knowledge.
- Vendor Sourcing, Cost Analysis, Price Negotiation, Inventory Control.
- Robust close discipline, documentation, communication and stakeholder management.
- Able to handle ad-hoc requests while meeting regular close and compliance deadlines.
- Strong verbal and written communication skills.
- Intermediate/advanced Excel spreadsheeting skills
- Strong analytical and problem-solving abilities.
- Self-motivated and able to thrive in a results-driven environment.

Pay: ₹10,000.00 - ₹27,000.00 per month
