Receptionist

 Greeting the guests and taking care of them.

 Coordinating with the concerned employees to whom visitor

wants to meet.

 Operation of EPBX system: Attending the phone calls, handling all

out going phone calls. Passing the message to the concerned

person without any delay. Transferring the phone calls to the

concerned departments through intercom.

 Filter calls before transferring to the concerned person.

 Coordinating with concerned persons for repairing of faulty

telephone lines.

 Preparation of Welcome Board for Visitors.

 Pantry administration: Controlling of pantry boys ensuring the

availability of materials in pantry.

 Coordinating with almost all employees of the organization for

administrative related activities such as

1. Booking of Training Room slots for meetings.

2. Lunch arrangement for guests.

3. Taking lunch orders for our employees & co-ordinating

accordingly.

4. Lunch arrangement for new joinee for a week

5. Courier Inward & Outward.

6. Checking stock of snacks & soft drinks for guests.

7. Arrangement of escorting the visitors till desired place.

Administration

 Ensure control over administrative matters.

 Administration and controlling all types of telephone landlines.

 Responsible for the requirements of the company’s chairman,

CEO, MD when they are at Zenith Office in Dombivli.

 Ensuring Clearance of all bills pertaining to administrative

matters.

 Processing of monthly bills of the above work contracts.

 Sending provision of administrative bills to Finance &

Administration department.

 Ordering Lunch for employees and guests as and when asked

for and also making payments to Hotels

 Celebrating and making arrangements for Birthdays of all

employees at Zenith.

House Keeping

 Ensure control over Housekeeping function.

 To co-ordinate with Outsourced agencies for housekeeping.

 To ensure proper allocation of workforce in the plant and

communicate the same to the Housekeeping Supervisor.

 To process bills related to Housekeeping.

Gardening

 To ensure proper maintenance of Company Garden.

 To ensure proper supply of water/ fertilizers to the vegetation.

 To supervise the gardening staff.



Vehicle Arrangements

 Ensure smooth transportation facilities for employees, sr.

executives & top management.

 Ensure Controlling of company owned & hired vehicles.

 Ensure transportation facilities for guests.

 Arranging repairing and servicing of company owned vehicles.

Pantry

 Supervise Pantry workers.

 Control Pantry workers





 Co-ordinate with contractors to arrange for pantry workmen

 Administration of industrial canteen.

 Maintaining and controlling Pantry stock.

Stationary:

 Responsible for controlling entire stationary in Zenith

 Ordering Stationary and co-ordinating with stationary

provider.

 Making entries into ERP of Stationary Stock

 Issuing stationary to all the departments on 1st and 16th of

every month but should allot only after receiving approved
